PM Header Data

At the top of the module window you will see header data. This data remains at the top of your screen as you use the tabs to navigate through the record. The header fields are described in the table below:

PM/Template

This is a required field that features two parts: the numerical code and the template name or description. This field allows you to create a unique identifier for the template. The code field can contain up to 20 alphanumeric characters. The description field has space for up to 80 alphanumeric characters.

Category, Main Task, and Problem

These fields allow you to choose data from code-description pick lists. Once a category has been selected, only the applicable main tasks and problems will be available for selection. For example, if you select Street Department as the category, only street-related tasks and problems will be available. These lists come from established modules in Work Flow Setup.  While these are not required fields, they are useful for providing additional information.

Scheduled PM Checkbox

This checkbox differentiates a regular work order template from a PM. When this box is marked, the Scheduling WO tab fields will be enabled allowing you to schedule preventative maintenance. In order to have a grouped PM, linked PM, or grouped assets, there must be a scheduled PM

Grouped PM Checkbox

This function allows you to create one PM for multiple assets. Based on that PM template, the system will generate a unique work order for each asset. When this checkbox is selected, you will no longer be able to enter assets into the Assets grid; however, you will be able to enter your data in the Grouped PM tab.

Tightly Linked PM Checkbox

This function allows you to have a series of two or more sliding PMs that are generated based on a single, Scheduled PM. Tightly linked PMs are not based on time, but instead are based on how often the initial Scheduled PM is generated. When a Tightly Linked PM is generated along with a Scheduled PM, both PMs will be associated with a single work order. By selecting this checkbox and the Grouped PM checkbox, the Grouped PM tab is enabled. You will use the Grouped PM tab instead of the Assets tab to create tightly linked PMs.

Grouped Assets Checkbox

This function allows you to create one PM for multiple assets. Based on that PM template, the system will create one WO for the entire group of assets. When this checkbox is selected, the Grouped PM tab will be used instead of the Assets tab.

Note: To disable a PM (i.e. stop work orders from being generated), you will need to clear out the interval and date fields while in Edit Mode.

Note: If a PM/Template is marked as a Scheduled PM, it will not appear in the Work Order module's Toolkit.

Warning: Administrators should NOT set the Category field to Required. By default, this field is already required by the system. When you manually set the field to Required, the system will disallow users from saving records.
