Subsets

The subset tool allows users to save a group of records for later use. These records can be reloaded in the module, and sometimes can be loaded in other modules.

To use the tool, click on the Subset button

on the toolbar. The following screen will appear with a list of subsets:

Select a subset from the list of subsets
Click either the Load a subset , or Load a Subset into a Filter button.
The subset of records will immediately be loaded.

Click the Add a Subset button . At the bottom of the subset popup, new fields will display showing subset properties.
Select whether the desired subset should be created from the current set of filtered records, or from records that are currently selected in the grid.
Give the subset a name in the Name field.
Decide how long the subset will remain in the subset manager. This is done by:
- Checking the Mark Permanent box. The subset will never be deleted
- Providing an expiration date in the date field. The subset will automatically be deleted on that day.
Click Save.

Select a subset and click the Edit a Subset button . At the bottom of the subset popup, new fields will appear showing subset properties.
In edit mode users can change the subset name in the Name field.
They can also change how long the subset will remain in the subset manager. This is done by:
- Checking the Mark Permanent box. The subset will never be deleted
- Providing an expiration date in the date field. The subset will automatically be deleted on that day.
Click Save.
Note: To change the actual records in the subset, users should use the Replace Subset button.

Click the Replace a Subset button . At the bottom of the subset popup, new fields will display showing subset properties.
When replacing a subset, users can only change the records in the subset.
Specify whether the new subset should be created from the current set of filtered records, or from records that are currently selected in the grid.
Click Save.
Note: To change other properties use the Edit button.

Select a subset in the list and click the Sort Subset button . Another pop-up will appear:

Select an Item in the subset.
Use the buttons to move the item up and down through the list.
When complete click Save.

Select a subset in the list and click the Sort Subset button . Another pop-up will appear:

Highlight an Item in the subset.
In the bottom left corner select whether to add the entire Filtered Set or only the Selected Records currently selected in the module.
Use the button to add the records above the item currently highlighted in the pop-up.
Use the button to add the records below the item currently highlighted in the pop-up.
When complete click Save.

Select a subset in the list and click the Sort Subset button . Another pop-up will appear:
Highlight an Item in the subset.
Use the button to remove the item currently highlighted in the pop-up.
When complete click Save.


Inventory/Address Subsets		Inventory Subsets are sets of assets. Address Subsets are a set of addresses based on the addresses attached to the selected or filtered assets. Note: Address Subsets only work with modules that support addresses.
Change Selected Category		This button only appears when the subset tool is used in a work module. Subsets from any asset inventory can be loaded into a work order. This button allows users to switch between work categories. When a category is selected, only the subsets for the related asset inventory are displayed.
My Subsets Only		Check this box to only show the subsets created by the current user.
Load a subset		This will load a subset already created. This clears out any filters currently being used and displays all records in the subset.
Load a subset into a filter		This loads the subset into the filter. If there are records in the subset that are excluded by the current filter, they will be excluded.
Add a subset		This creates a new subset.
Sort a subset		Allows users to change the modify the subset.
	Remove		Removes an item from the subset
	Add		Adds new items to the subset
	Move		Moves an item up or down within the subset. When a subset is loaded the items will retain the order of the subset.
Edit a subset		Allows users to edit the details of an existing subset
Replace a subset		Replaces the selected subset with a new one.
Delete a subset		Deletes the selected subset.
