Troubleshooting PMs

PMs have specific requirements that must be met to avoid outcomes such as the PM not generating a Work Order or generating a Work Order that does not have all required or desired information on it. Review the following when troubleshooting PMs.

Work Flow Setup/PM relationships

Work Flow fields	These fields (Category, Problem, Supervisor, etc.) on a PM record utilize information from the Work Flow Setup modules to fill out the generated Work Order.
Task and Resource records	These Tasks and Resources (Employees, Equipment, Materials, Material Kits, Fluids, Contractors) are PM child records that also come from the Work Flow Setup modules.

Changes to Work Flow Setup are not automatically reflected throughout the system. For example, if a supervisor retires and their Employee Setup record has the Active box unchecked, any PMs that the supervisor was on will now be invalid.
Make sure the related Work Flow Setup records still exist and are marked Active.
Check the related Work Flow Setup records for values in those fields.

Assets

Asset inventory records are attached to PMs . A few common things to look at with assets are:

Make sure the No WO/REQ/PM box is not checked on the assets attached to the PM.
Make sure the asset has not been deleted.
Check the Status field for Fleet and Equipment records. Check for Operating Status > 949.

Work Orders

If a Work Order related to a PM is open (status code < 950), the PM will not generate another Work Order unless the "Always Generate Work Orders On PM Schedule" Work Option is turned on.
- Note: This Work Option does not work for hourmeters or odometers.
Check for deleted Work Orders.

Troubleshooting Tools

Lucity Scheduler Services - Program that if not installed or working properly will result in incorrect Work Order generation ranging from nonexistent to duplicate output.
Force Run PM Processing - Management tool that causes the overnight PM Generation process to run on demand, such as if your server went down overnight causing nightly processes to not run. Note that this is a resource-intense process and may cause problems with users editing PMs.
Data Quality Services - Management tool with queries to look for bad data.
Check for Data Problems - Toolkit in the PM module.
Replace Employee on PMs and Crews - Toolkit in Workflow > Employee Setup module.
Replace Equipment on PMs and Crews - Toolkit in Workflow > Equipment Setup module.
