The Fuel/Costs tab allows you to enter the fuel type, fuel amount, and fuel cost. Since each record displays the previous fueling information as well as the difference between the current and previous readings, you are required to enter the date of each fueling.
Recommended: Enter the current odometer reading as well. The odometer reading dictates scheduling of preventative maintenance work orders, warranty status, depreciation, and replacement costs of the vehicle.
The fields in this tab are described in the table below. Note that several of these fields have special functions:

Fuel |
This code-description field allows you to select the fuel type from a pre-defined pick list. Note: The same fuel codes from Fluids module (1=unleaded, 2=diesel) must be used for the Fuel field pick list. |
Fuel Amount |
This numeric field allows you to indicate the fuel amount, in gallons, used in this fueling. |
Cost Per Unit |
Use this field to indicate the cost per gallon for the fuel used. |
Total Fuel Cost |
This field is automatically calculated by the system. It multiplies the values in the Fuel Amount and Cost Per Unit fields to give you a total cost for this fuel. |
Other Fluids |
This field is automatically calculated by the system. It displays the total cost for all fluids entered in the Other Fluids Used tab. |
Grand Total |
This field is automatically calculated by the system. It sums the values in the Total Fuel Cost and Other Fluids fields. Thus, this value represents the total cost of all fluids used in the entire fueling record. |
Previous Reading fields |
These fields display the date/time, odometer, hourmeter, and other meter readings from the most recent fueling record. These fields are automatically filled in by the system. |
Current Reading fields |
Use these fields to enter the date/time, odometer, hourmeter, and other meter readings for this fueling record. Note: The Current Reading Date is required in order to save the record. |
Difference |
These fields are automatically calculated by the system. The system subtracts the previous reading fields from the values in the current reading fields to shows the change for this particular fueling record. |
$ per Unit |
These fields are automatically calculated by the system using the Total Fuel Cost field. |
Units/Fuel Amount |
These fields are automatically calculated by the system. They divide the values in the Difference column by the Fuel Amount value. This provides the user with Days/Gallon, Miles/Gallon, and Hours/Gallon figures. Note: These fields will only be calculated for newly added records. For historical records, execute the Toolkit option "Calculate Unit Rates". Follow the link for additional information. |
