General Ledger, Project Accounting, & Journal Entry Integration

The integration with the Eden > General Ledger and Project Accounting modules allows agencies to import non-payroll and non-warehouse work order charges and tie them to General Ledger and Project Account records. These integrations are based on Account # and Project Account #. The data for both of these integrations are imported from Lucity into Journal Entries.

work order charges, such as equipment rental and contractor costs, from a work order into the General Ledger module.

The integration with Project Accounting allows you to track employee payroll and general ledger against the Eden InForum accounting system. The desktop allows you to setup a resource as a "Journal Entry Import" resource (in lieu of the import to activity entry) which will feed the labor costs (based on a standard rate) into a General Ledger journal entry.

There are two important components to these integrations:

• GL Account and Project Account # Lookup - This matches work orders to records in the General Ledger and Project Accounting modules. This component requires the following to work:
  • A valid Eden account number, or project number must be listed in the work order. If the work order being imported only features one of the required numbers (e.g. only the project #), then the account number will be determined using the InForum Gold Project Accounting masks. If a corresponding number cannot be retrieved, a default account number will be used instead. This default account number is setup using an InForum Gold GL Preference. If the corresponding account number is never determined (i.e. the default account number is used or the field is vacant), an exception report from InForum Gold will prompt the user to resolve the issue.
  • The work order resource units must be greater than zero.
• Work Order Interface - All resources marked as journal entries (in the Work Flow Setup modules) and related work order data will be imported into the General Ledger and Project Accounting modules.
  • Only completed work orders (those with a status > 950) will be imported.

Account numbers and/or project numbers may also be added to the resources as defaults. Open Work > Work Flow Setup from the desktop's main menu and then select the corresponding resource (Employees, Materials, etc.) More information on the Work Flow Setup modules
