The fields in the Setup tab are described in the tables below:
Field Name |
Definition |
Category |
Allows users to associate a Work Flow Setup > Category with the task. Click on the field name or press F9 within the field for a list of categories. |
Department ** |
Indicates which department will accomplish the task. Click on the field name or press F9 within the field for a list of departments. |
Division * |
Designates a division within the department. Click on the field name or press F9 within the field for a list of divisions. |
Sub-Division * |
Designates a sub-division within the division. Click on the field name or press F9 within the field for a list of sub-divisions. |
Area * |
Designates an area within the sub-division. Click on the field name or press F9 within the field for a list of areas. |
Sub-Area * |
Designates a sub-area within the area. Click on the field name or press F9 within the field for a list of sub-areas. |
Overhead Item |
Keeps the task's cost fields from being rolled up into the department's costs. |
Asset |
The type of asset involved in the task, as indicated by the Category selected above. An asset is associated with a Category in the Work Flow Setup > Categories module. |
Units of Asset |
Specifies the amount of asset affected by this task. The system can calculate this value or the user can enter it manually. If the selected Category is configured to automatically count or sum the Unit Of Measure, click in the field and press F5 to figure the total units for the Asset type. Example: If the asset is sewer pipe, then the Units of Asset field will calculate the total linear footage of all sewer pipes in the Pipe Inventory module. |
Unit of Measure (1) |
Indicates the unit of measure for the Units of Asset field. Example: For the sewer pipe example above, this Unit of Measure would be linear feet. |
Conversion Factor |
Converts the number of units from unit of measure that the module uses to the unit of measure that the asset uses. Complete this field if the unit of measure used in the Asset module is different than the unit of measure used on the task. Example: If the sewer pipe assets are measured in feet, but the work is measured in yards, enter 0.3333 into this field. |
Task Asset Units |
Denotes the amount of units involved in this task. Automatically calculated as: Units of Assets x Conversion Factor. |
Unit of Measure (2) |
Indicates the unit of measure used for the Task Asset Units field. Example: In the sewer pipe example above, this unit of measure would be yards. |
Daily Quantity |
Specifies the number of task units a single crew can complete in a day. |
# Crews Available |
Enter the number of crews available to work on this task. |
Crew Days Needed |
Specifies the number of crew days required to complete the task. The system automatically calculates this field as: Task Asset Units / Daily Quantity. Example: An agency needs to repair 111,745 linear feet of sewer pipe (as indicated in the Tasks Asset Units field). The Daily Quantity the crew can complete is 3,000 feet. Therefore, 111,745 / 3,000 = 37.25 Crew Days Needed. |
Min Crew Days |
Indicates the minimum number of crew days required to complete the task using available crews. The system calculates this value as: Crew Days Needed / # Crews Available. Example: The task requires 37.25 crew days to complete. If there are two crews available, the minimum number of days required to complete the task is 18.63. |
MHs Required/CrewDay |
Indicates how many man-hours are available in a given work day. Example: Some crews work five, eight-hour days; others may work four, ten-hour days. |
* Required.
* These fields must form a combination that matches the combination of Department, Division, Sub-Division, Area, Sub-Area selected on a record in the Planning Department module.
