Facility Fields

The fields described below have special functions. For a complete list of available fields, see the Lucity Data Dictionary.

ID Fields

Facility Number **

Serves as the user-defined, unique ID for the facility.

Facility Name

Identifies the facility by its common name.

Property ID Tag

Relates the facility to an existing Address record in Lucity.

Address

Street Name

Apartment/Suite

City

State

Zip Code

Identifies the location of the facility.

Active Facility

Indicates whether the facility is currently part of the IPT program.

General Fields

The following fields are classification fields that give users an overview of the facility and expedite record filtering.

Help identify the physical location of the facility.

Classification

Identifies the type of business the facility conducts. This list can be customized by the agency.

Sub Class

Categorizes the facility further.

Grease Trap Mon

Identifies whether the available grease-mitigation systems contain a monitor to alert staff when the equipment has reached capacity.

Account Number

Indicates the reference number for the account used to bill the facility.

Billing Rate

Monthly Fee

Annual Fee

Indicate the dollar amount charged to the facility per billing cycle, month or year.

Meter Number

Identifies the device used to measure water flow in the system.

Assigned Inspector

Identifies the person responsible for assessing the facility's compliance with IPT regulations.

Area (SF)

Indicates the approximate square footage of the facility.

# of Employees

Provides an estimate of the number of people who work at the facility.

Open Hours

Specifies the days and hours the facility is open for business.

Water Usage

Indicates the average quantity of water (measured in hundreds of cubic feet) the facility uses per period of time designated by the agency.

Total Flow

Indicates the amount of flow that moves through the facility.

Regulated Flow

Indicates the amount of water flow at the facility that is regulated.

Monitored Flow

Indicates the amount of water flow at the facility that is tested.

Total Flow to Sewer

Indicates the amount of flow that moves through the facility to the sewer system.

Current Return Factor

Specifies the amount of flow that moves through the facility that returns to the facility.

Discharge Type

States the method by which flow is released from the facility. Batch indicates that the flow is released intermittently or at regular intervals; Continuous indicates that it is released constantly.

Rate of Production

Describes the how fast the facility is generating its product.

Last Report Submitted Date

States the date on which the facility filed the previous report.

Last Report Completed

States the date on which the facility generated the previous report.

Last Report Due

Indicates the date on which the agency expected to receive the previous report from the facility.

Next Report 2B Submitted

Predicts the date on which the agency expects the facility to file the next report.

Sampling Fields

Sampling fields allow agencies to set which months sampling is required.

Monitoring Frequency

Indicates how often the IPT facility is required to report results of Monitoring Point Tests.

Options are:

  • 0 - N/A
  • 1 - Quarterly
  • 2 - Semi-Annually
  • 3 - Annually

The system checks the value of this field when users run the 4-Day Test toolkit to determine the range of records to analyze.

Last Sampling Report Date

States the date on which the agency last received a report on the facility's monitoring point tests. Typically, test reports are due by the last day of the month following the testing month. (For example, results of the March test would be due April 30.)

Indicates the months in which sampling reporting is required.

For example, if an IPT facility's Monitoring Frequency is set to "1-Quarterly," the user should check four of these monthly Sampling Required check boxes (e.g., Mar, Jun, Sept and Dec) to indicate the months in which the quarterly reports are due to the agency.

Maintenance-Related Fields

Next Log Due

Predicts the date on which the next Maintenance activity should be documented.

The system automatically completes this field based on the date of the most recent Maintenance Log record and the values in the Log Freq and Log Freq Units fields. However, users can also override this value by manually entering a date.

Inspection-Related Fields

Last Inspection Date

Indicates the calendar date on which the most recent inspection occurred.

The system automatically populates this field using the Inspection Date from the most recent Inspection record.

Inspection Freq

Specifies the number of (date) units that should occur between inspections.

Inspection Freq Units

Specifies the type of calendar units that should occur between inspections (e.g., days, weeks, months, years).

Next Inspection Date

Prescribes the date the next inspection should occur.

If the Inspection Freq and Inspection Freq Units fields are populated, the system will calculate this field automatically based on the Last Inspection Date. Users can filter records by the Next Inspection Date to identify sites that need to be inspected.

Notification-Related Fields

Notification

Indicates the type of notification sent to the Facility Contact and/or Owner.

Notification Date

Records the date that notification was sent to the Facility Contact and/or Owner.

Corrective Action -Related Fields

Follow-up Date

Specifies the date on which the agency plans to contact the facility regarding the status of corrective actions. Lucity automatically completes this field using the Due Date of the Corrective Action that is due next.

Linking Fields

Sewer IPT Facilities can be linked to certain types of Sewer and Environmental Compliance assets.

Linked Sewer Assets

The following fields on the IPT Facility form enable a user to link an IPT Facility to existing Lucity Sewer assets.

Alt Pipe ID

Links the facility to an existing Sewer Pipe record.

Network Structure

Links the facility to an existing Sewer Structure (manhole) record.

Service Structure

Links the facility to an existing Sewer Service Lateral record.

Note: Once the user selects a Pipe, the Network and Service Structure pick-lists display only records associated with that Pipe.

 

Linked Environmental Compliance Assets

The following fields on the IPT Facility form enable the user to link an IPT Facility to other Environmental Compliance assets.

Linked Facility

Links the facility to an another IPT Facility record.

Storm Commercial Rec #

Links the facility to a Stormwater Quality Commercial Inventory record.

Storm Industrial Rec #

Links the facility to a Stormwater Quality Industrial Inventory record.

Storm Management Rec #

Links the facility to a Stormwater Quality Management Plan record.

FOG Facility Number

Links the facility to a Fats, Oils and Grease Facility record.

Contact Fields

Agencies have the ability to store contact information for the primary contact, an on-site contact and the owner of an IPT facility.

Salutation

Title

Name, MI, Last Name

Identify the person who is considered the primary contact for the facility.

Contact Address

Specifies the street address of the primary contact for the facility.

Contact Phone

Cell Phone

Fax

Specify the landline, cellular and facsimile numbers for the primary contact for the facility.

Contact Email

Notes the email address of the person who serves as the primary contact.

Lucity uses this address as the recipient for the Send Contact Email Notification for Selected Record(s) or Filterset functions found in the Toolkit.

Contact Type

Indicates the contact's preferred communication method.

Owner Name

Identifies the person who is considered the owner of the facility.

Owner Business

Identifies the business or entity associated with the owner of the facility.

Owner Address

Specifies the street address of the owner of the facility.

Owner Phone

Specifies the phone number of the owner of the facility.

Owner Email

Notes the email address of the person who serves as the owner of the facility.

Lucity uses this address as the recipient for the Send Owner Email Notification for Selected Record(s) or Filterset functions found in the Toolkit.

On-Site Contact Email

Notes the email address for the person who serves as the on-site contact. Lucity uses this address to send IPT notifications.

On-Site Contact

Indicates that the person listed as Contact is also considered the on-site contact for this site.

Permit-Related Fields

Permit Number

Uniquely identifies the IPT permit the agency issued to the facility.

Permit Approval

Permit Expiration

Specify the date the IPT permit was issued to the facility and the day on which that permit expires.

Status

Describes the current state of the IPT facility's permit.

Test-Related Fields

The following fields relate to tests performed on the monitoring points within the facility.

Last Test Date

States the date the asset was last tested. The system completes this field using the Sample Taken value from the most recent Test record.

Next Test Date

Forecasts the next date that the asset should be tested.

This date can be added manually or calculated automatically based on the Last Test Date, Test Freq and Test Freq Units fields.

This field can then be used to filter for assets that need to be inspected.

Test Freq

Indicates how often the asset should be tested. The type of unit associated with this number is stored in the Test Freq Units field.

Test Freq Units

The type of unit referenced in the Test Freq field (i.e., weeks, months, etc.).

Work-Related Fields

The following asset fields are related to Work Orders, PMs and/or Requests:

Default WO Cat ***

Lets users establish a default Category for the Asset. When a Work Order is created for the Asset, the default Category and related asset information are imported into the new Work Order record. Multiple Categories are available in the pick-list.

No WO/PM/REQ ***

When enabled, users cannot create Work Orders, PMs, or Requests for that Asset. The Asset also no longer appears in the selection dialog boxes for WO/PM/Request modules. This function is useful for assets that are logged in Lucity, but have been retired.

Asset Account #

Indicates the reference number of the general account to be billed for any work done on the asset. The system can be configured to handle account numbers in various formats. The format dictates how users complete this field. More information about Account Number formats

  • Automatically populates the Account # on work orders to which the asset is added, if the work order's Account # field is empty.

Asset Proj No - Acct

Indicates the reference number for a specific project account to be billed for any work done on the asset. The system can be configured to handle project account numbers in various formats. The format dictates how users complete this field. More information about Project Account Number formats

  • Automatically populates the Proj No -Account # on work orders to which the asset is added, if the work order's Proj No -Account # field is empty.

Maintenance Zone *

Enables agencies to group Assets based on a location. The Maintenance Zone value is then carried over to the Work Order, where it can be used to automatically assign a Supervisor.

This field is most easily populated through GIS.

Alternate Zone *

Enables users to group Assets based on a secondary location parameter of an agency's choosing. The Alternate Zone is then carried over to the Work Order.

WO Comment *

Enables user to include information relevant to working on the asset. Information that a user enters here is copied to the Work Order > Asset > Asset Comment field.

Last WO Task

Displays the last date that asset was included on a work order.

Common Fields

Custom Fields

Lucity Web includes a variety of empty fields that an agency can customize to meet its needs. The number of custom fields available varies by module. Custom fields may be any of the following types:

Pick-List

Lets users select a value (code/type) from an agency-defined list.

Alphanumeric

Enables users to enter letters or numbers in any combination.

Check-box

Used to indicate yes/no or on/off.

Numerical

Accepts numbers only.

Date

Provides a pop-up calendar to enable the user to select a date.

Last Modified Fields

Last Modified By

The login ID of the last Lucity user to change the record.

Last Modified Date

The date that the record was last updated.

Last Modified Time

The time of day at which the record was last updated.

 

GIS-Related Fields

Z

Contains basic information about the assets location.

  • Point features - Stores the XY coordinates of the asset's location.
  • Line features - Stores the XY coordinates of the midpoint of the line.
  • Polygon features - Stores the XY coordinates of the centroid of the polygon.
  • Z coordinates are stored if they are avaiable.
  • Coordinates are calculated using the coordinate system used in the related feature service (Spatial Reference, or WKID).

In Map

Indicates that the record is found in the GIS system.

  • When checked the system enables the show in map tool.
  • Automatically updated when an GIS feature is synced into Lucity.
  • Can be updated using the Update Show in Map Flag tool.

GIS Subtype

Indicates which Subtype is used to classify the asset in GIS.

GIS Needed

Enables users to mark the record as needing to be added/updated in GIS.

CS Integration Fields

The following fields relate to records in CentralSquare's Finance Enterprise (FE) system. More information about the Finance Enterprise integration.

Note: In certain Lucity modules, these fields may require specific values or combinations based on FE Ledger configuration.

CS General Ledger

Identifies a General Ledger (GL) record in FE.

CS General Key

Identifies a GL Key record in FE.

CS General Object

Identifies a GL Object record in FE.

CS Job Ledger

Identifies Job Ledger (JL) record in FE.

CS Job Key

Identifies a JL Key record in FE.

CS Job Object

Identifies a JL Object record in FE.

CS Fixed Asset

Identifies a Fixed Asset in the Finance Enterprise (FE) system.

  • Important: This field supports manual entry but will only validate against Fixed Asset records in FE when selecting a value from the lookup.
  • Note: This field is only used in inventory modules.
