The Work Permits module group includes a Notifications feature that makes it easy to email stakeholders, including the person listed as the Contact on the Work Permit. For example, the Notification feature could be used:
to notify the contact that a permit application has been approved;
to alert the contact and agency management that the site failed an inspection and requires correction; or
to warn the contact that the permit is about to expire.
Unlike other Work modules, Lucity does not send Work Permits Notifications automatically. Instead, you send Permit-related Notifications using one of two "Send Email Notification" Toolkitsfound in the Permit module toolbar. Both toolkits require you to select a Notification template, which are standard messages an agency establishes in the General > Notification Setup module.
Open the System Configuration > Notification Setup module.
Click Add . The Notification Setup form appears.
Give the template a unique name using the Notification Label field (required).
In the Notification Type field (required), select: 1|Email.
In the Notification Module field (required), select: 10|Work Permit.
Permit Notifications are automatically sent to the Permit Contact using the Permit Email address designated on the Permit record. In the Recipient List field, enter the email address of any person other than the Permit Contact who should always receive this type of Notification. Separate addresses with a semi-colon (NOT a comma). "Blind cc" emails are not permissible. (That is, all email addresses will be visible to all recipients.)
Note: The designated recipients will receive this Notification EVERY TIME it is used—whether they are specified through the sending module or not.
Note: Many of the Lucity modules that send Email Notifications automatically determine the message recipient(s) based on module data; therefore, not every template must have a specified a Recipient List.
Enter the Subject of this Notification.
In the Message field, draft the body of the notification.
Note: To add a line break in the Email Body section, press CTRL+Enter.
Indicate the Sender Type and Sender Email Address if desired.
Use the DocumentAttach box to mark whether you want any documents already associated with this Permit to be attached to the Notification email.
Save and close the Notification. The new Notification appears in the grid and is now available to all users of the Permit module.
Use CTRL + click to select one or more Work Permit records.
Click the button in the module toolbar and select Send Email Notification | Selected Record(s).
The following pop-up appears:
Select the desired Notification Template from the picklist.
Note:Notification Templates are created in the System Configuration > Notification Setup module.
Click OK. Lucity sends the Notification is sent to:
the contact designated in the Permit Email field of each selected Permit record; and
any default recipients listed in the selected Permit Notification template.
If any of the records did not have a Permit Email contact listed, the system will notify the user that the Notification could not be sent for those Permits.
The action is recorded in the Work Permit's Email Tracking grid.
Create a filter to identify the the record(s) for which you would like to send notifications.
Click the button in the module toolbar and select Send Email Notification | Current Filter.
The following pop-up appears:
Select the desired Notification Template from the picklist.
Note:Notification Templates are created in the System Configuration > Notification Setup module.
Click OK. Lucity sends the Notification is sent to:
the contact designated in the Permit Email field of each Permit record; and
any default recipients listed in the selected Permit Notification template.
If any of the records did not have a Permit Email contact listed, the system will notify the user that the Notification could not be sent for those Permits.
The action is recorded in the Work Permit's Email Tracking grid.
