Warehouse Security enables agencies to have fine control over user permissions within the Warehouse and Parts modules. Agencies have the ability to lock staff out of certain warehouses while still giving them the ability to use other warehouses (and the parts contained therein). This will control the following within Lucity:
Which warehouses employees have access to.
Which warehouses employees can disburse Parts from.
Which Parts employees can edit, based on the warehouse(s) each Part is in.
Considerations
Which users should have access to use the Lucity Warehouse module?
Which users should have access to which Warehouses?
Prerequisites
Lucity users must have permission to use the Warehouse module assigned in the Lucity Security Program. Warehouse security restricts those permissions to only apply to specific Warehouse records.
The Lucity user must have the LoginID filled out on their Employee Setup record.
Warehouse Security rights
Users must be assigned to specific Warehouses. This is done in the Warehouse Inventory > Warehouses > Warehouse Security grid. Each employee record in the grid must then be assigned Security rights for that Warehouse.
Available Security Rights
Full Access - Gives a user full control over a Warehouse. The user can update a Warehouse record in the Warehouse module and disburse Parts to Work Orders.
WO Only - Enables the user to only access the Warehouse through the Work Order modules. The user can disburse Parts to a Work Order and return them to the Warehouse, but they cannot edit the Warehouse record within the Warehouse module.
No Access - If user is not assigned a Warehouse security level, the user cannot issue Parts, disburse Parts to a Work Order or return Parts from a Work Order.
Enabling Warehouse Security
Parts Warehouse Security functionality should not be turned on until the Warehouse Security is setup for all users that need access.
Enable the Admin Portal > Settings > Work Options > Work > Parts > Use Parts Warehouse Security option to enable Warehouse Security.
Note: This step is only necessary if you have the Work Options > Work > Parts > Use Parts Warehouse Security option checked.
In the Warehouse Inventory > Warehouses module, click the to expand the Part Warehouse record to which you want to add employee permissions.
Select the Warehouse Security grid and click Add . The Warehouse Security form opens.
Select the Employee this security is for. This is required and must be unique for this grid.
Select the level of Security for the employee.
Note: Most actions will require Full Access.
Click Save . The Employee and their Security permissionappears in the Warehouse Inventory > Warehouse Security grid.
Important: Users must be assigned security rights for each Warehouse they will need access to.
Helpful tools
Setting up a Warehouse's security can take some effort. Several toolkits can help with the process of adding an entire group of employees to the Security of the selected Warehouse. More information about Warehouse Security toolkits.
