Lucity's Employee Setup module records a wide variety of information about the individuals an agency employs, including:
contact information,
employment status and seniority,
organizational placement,
work hours and shift assignment,
salary and pay rates, and
Lucity login ID.
These Employee records interface with many other Lucity modules--from Asset Inventory modules to Inspections or Timesheets. In the Work program, users can assign Employees as Supervisors or Lead Workers on Requests, Work Orders and PMs. Users can also apply Employees as Resources on a Work Order or PM, and thereby track their time and time costs for the work.
Common Tasks
To access the Employee Setup module, select Work > Administration > Work Flow Setup > Employee Setup.
In the Work > Administration > Work Flow Setup> Employee Setup module, click the button.
Enter an Employee ID code (required). This value must be unique.
Enter the Employee Name (required).
Select the Status of the employee.
Classify how the employee may be used in the system.
Mark the employee as Active. This is required to use the employee elsewhere in the system.
Use the Supervisor, Leadworker, Inspector and other checkbox fields to indicate roles that the employee will fill in the system.
Record the employee's Lucity Login ID if they are able to log into the system. This is not required but unlocks functionality in the system and is recommended.
Complete the contact information, location and emergency contact fields.
Click the button to save the record. The new Employee now appears in the grid.
In the Work > Administration > Work Flow Setup> Employee Setup module, open the Employee record that you want to deactivate.
Uncheck the Active field to indicate the Employee is no longer active in the Work program.
Change the Employee Status, if necessary.
Click the button to save the record. This Employee will no longer appear in pick-lists on new Work Orders, PMs or Templates.
Important Final Step: Check PMs, Crew Setup, and Task Setup records for this Employee and remove the individual where found. This step ensures that the system does not attempt to use the inactive Employees when creating work orders.
Warnings
Lucity will not generate a PM that includes an Employee that has either been deactivated or deleted from a Work Flow Setup module.
Users can delete an Employee from a Work Flow Setup module. Doing so does not affect existing records. (i.e., the deleted Employee still appears in existing Requests, existing Work Orders (completed or incomplete), and existing PMs; however, if users attempt to edit incomplete Requests or Work Orders that include the Employee as a Resource, they will be forced to change the Employee.
