User Management

The user management grids are on the left side of the the User/Group Setup window. They allow administrators to create new users, assign passwords, setup windows authentication, etc...

How To

The User Grid has several special functions found by right clicking in the grid.

Selecting Columns

Click on a column header to select a column.
Click and drag the mouse to select multiple columns.

Selecting Users

Click on a User in the grid to select.
Hold down the Shift or Ctrl keys to select multiple users.

Right Click Controls
Sort Ascending/Descending *	Sorts the selected column(s) in Ascending or Descending order.
Freeze Column(s) *	Freezes the selected Columns in place. The column is moved to the left of the grid. When users scroll left or right, these columns don't move.
Unfreeze All Column(s)	Unfreezes all frozen columns.
Hide Columns(s) *	Temporarily hides the selected column from the grid.
Show All column(s)	Causes all hidden columns to be displayed again.
Filter For *	Provides a popup field that allows users to type in a value to filter a column by.
Show Selected Only `*`	Hides all user records that are not currently selected
Remove Filter	Removes any filters made.
Toggle Authentication `*`	Switches the Allow Application Authentication field for selected users.
Set Default Rules Group `*`	Provides a popup field to select a Default Rules group. The selected group will be set for all selected users.

* Requires a column to be selected.

* Requires one or more users to be selected.

Click New User under the Users grid.
The following window will appear.
Enter the username they will login with under User.
Fill out other fields as desired as explained below.
Click OK.
Note: Users must have a password set to log into the program. To do this select the user and follow the Change a Users Password instructions.


Fields
User	This is read only. It can only be edited when adding a new user
First Name	The users First name
Last Name	The users Last name.
Email	This is an email address associated to the user. This is specifically used when activation codes are sent out for products like the Lucity Mobile app for Android.
Default Rules Group	Within Lucity web there are several places where the system displays information based on which security group a user is in. Since users can be in multiple groups sometimes the system needs to know which group that user should see information for. Defining the Default Rules Group tells the system which group to display information for.
Enabled	This allows administrators to keep previous employee's user records in the system, while disabling them from being able to log in.
Change Password	This button allows an administrator to change the users password. Users must have a password before they can log into the program. Note: The minimum length of the password is set by the system administrators. The maximum password length is 20 characters. Passwords are case sensitive, and can use any standard characters and symbols. (UTF 8 characters)
Associated Windows Accounts	This grid stores Windows user accounts that are associated to the lucity user. This allow users to log in using windows authentication.
Add	Add a Windows user account to the Associated Windows Accounts grid.
Remove	Remove a Windows user account from the Associated Windows Accounts grid.
Allow Application Authentication	This checkbox marks whether the user can log in using a username and password, or if they will be forced to login using windows authentication.

Select a user in the Users grid.
Click Edit User and the following window will appear:
Fill out desired fields as explained below.
Click Ok to save edits and close the window.


Fields
User	This is read only. It can only be edited when adding a new user

Select a User in the Users grid.
Click Delete User and the following message will pop up:
Click Yes and the user will be removed from the Users grid.

Select a user in the User grid.
Click Edit User. The Edit user dialog will appear:
Click the Change Password button. This popup will appear:
Enter the new password
- Click Show Password to see what is being typed.
  Note: The minimum length of the password is set by the system administrators in the Lucity Administration Tool. The maximum password length is 20 characters. Passwords are case sensitive, and can use any standard characters and symbols. (UTF 8 characters)
Click Ok. The password is changed.
The user can change the password after logging into Lucity Desktop or Lucity Web.

Users grid	This grid displays a list of all the users. The columns in this grid can be sorted and their is right click functionality that allows sorting and some mass updates for user records.
	Use the locate button to search for users in the list.
New User	Creates a blank new user record
Edit User(s)	Edits any users selected in the Users grid.
Copy User	Creates a new user based on the currently selected user. Exactly what it copies is based on the `Copy > Users` menu.
Delete User(s)	Deletes the user currently selected in the grid.
Reset Password(s)	This button is no longer used because a user must have an assigned password. If a user has forgotten their password, Edit the user record and use the Change Password button to give them a new password.
Associated Groups grid *	This grid displays the groups associated to the currently selected user(s).
Effective Permissions *	This grid displays the permissions for the currently selected user. If more than one user is selected no permissions will be displayed.
Display User Permissions Only	Check this box to hide any Effective Permissions the selected user inherits from a group. This allows administrators to quickly see which individual overrides the user has been assigned.
