If you frequently use the same group of materials to complete a particular type of work, you can use Lucity's Material Kit function to streamline the process of adding Material Resources to a Work Order Task.
Kits are simply virtual groupings of Materials; as such, they do not track the costs of the items they contain or change inventory quantities of those items. Only when you attach a Material Kit to a Work Order does Lucity initiate two important workflow processes: 1) It calculates the costs of the Kit’s Material Resources into the Work Order; and 2) if those items are related to Lucity's Parts Inventory, it disburses the parts.
Material Kits can be added to a Work OrderTask in two ways:
You can add a Material Kit manually.
Or, if the Task's related Task Setup record lists a default Material Kit, Lucity automatically adds that kit to the Task's Material Kits grid and adds the Materials in the Kit to the Task's Materials grid.
Expand the Work Order that contains the Task to which you'd like to add a Material Kit.
In the Tasks grid, expand that Task record.
Select the Material Kits grid and click Add . The Material Kits form opens.
Use the picklist to select a specific Material Kit (required).
By default, the list displays Kits associated with the Work Order Category. To see all Kits, click the Show All option at the bottom of the dialog.
When you select a Kit, Lucity carries over the following data from the corresponding Material Kit Setup record: Department, Unit of Measure, Make, Model, Special ID, Account # and Project No - Acct.
Enter the number of Units or Estimated Units of the Kit to be used.
Complete other fields as desired.
Click Save . The selected Kit now appears in the Work Order Task >Material Kits grid.
If the Materials in the Material Kit are linked to a Parts Inventory record, Lucity prompts the user to disburse the items.
In the Work Orders> Tasks >Material Kits grid, select the Material Kit record(s) to which you want add dates and units.
Click the button in the Material Kits grid and select the Populate Dates and Units | Selected Record(s) tool. The following pop-up appears:
Enter the Res Start Date and Res End Date.
Enter the Res Start Time and Res End Time.
Enter the amount of the material used in the Units field.
Click OK. The Toolkit overwrites any existing values in the corresponding Date/Time/Units fields in the selected Material Kit record(s).
Important: This Toolkit will not run if one of the Materials in the selected Material Kits has the Processed by Financials option enabled on its Material Setup record.
If the part is only stored in one location the system will begin to check quantities. Go to Step C
If the part is stored in multiple Warehouse Locations the following pop-up will appear:
Click Distribute the following pop-up will appear:
Enter the desired quantities from the desired locations. The Quantity Selected fields must total the quantity of part(s) listed at the top of the pop-up. (The example above lists "5" Front Brake Rotors.). Once all the part have been accounted for, click Distribute. Go to Step C.
The system checks the requested number of Units versus the Warehouse Location's Units for the Part.
If there are no problems with disbursing the request quantity, the parts will be disbursed and the tool will close.
If there are issues with the material quantities, the following message will appear::
Click Dismiss to go back to the tool and change the requested number of units to match the number available or cancel the toolkit.
Enables users to use another form of identification for the kit.
Unit of Measure
Indicates the quantity and type of measurement for the kit using a user-defined picklist. (For example: 1 each, 2 boxes, 1 container, etc.)
Units
Indicates the number of kits used on this task.
The Material Kit's Units value is used to calculate Units for individual Materials on the Work Order: Material Kit Units x Material Kit Materials Units = Work Order Material Units
If using in conjunction with Parts Inventory, note that when the Units are added to the Work Order, they are automatically disbursed from the inventory.
Estimated Units
Indicates the number of kits that are expected to be used on the task.
Account #
Specifies the account number associated with the kit's use on this task.
Proj No - Acct
Specifies the project number associated with the kit's use on this task.
