The Material Requisition module enables you to request parts. Once the requisition is created, the warehouse manager can see the requisition and disburse, transfer, or purchase inventory as needed.
The Material Requisition module enables users to:
request materials that are needed for a Work Order but are not kept in stock, or
request materials that are needed for a Work Order but the employee does not have permission to disburse, or
request materials that are not linked to a specific Work Order.
Note: This module only works with Materials that are tied to Parts.
Common tasks
To open the Material Requisition module, select Work > Material Requisition.
Enter a Requisition No. This is required and must be unique.
Note: If your administrator has turned on the Auto Generate Material Requisition Numbers setting, this field is read-only and will auto-populate upon saving the record.
In the Entered By picklist select the name of the employee completing the record. Click Select.
In the Department picklist select a department that will use the requested materials. Click Select.
Enter an Entered Date (required).
Enter a Needed By Date.
In the Work Order # picklist, select a work order associated with the required materials.
The system automatically completes this field if the requisition is created from a WorkOrder.
In the Vendor ID picklist select a vendor. Click Select.
In the Warehouse ID picklist select a warehouse. Click Select.
Complete additional fields as desired.
Select Save . The new record appears in the Material Requisitions grid.
Select the Toolkit then select Create Requisition for Selected Material | Selected Record(s). The following pop-up appears:
Enter a Required By Date (required).
Select OK. The system opens the Work > Material Requisition to display the new Material Requisition record. Open the record to edit or add details as desired.
Click the Toolkit and select Adjust Part Quantity (-) | Selected Record. The following pop-up appears:
This pop-up shows parts with quantities that can be adjusted from the Material Requisition record. It only shows parts that have enough On Hand Quantity in inventory to meet or exceed the requisitioned quantity.
If detail has less in inventory than has been requisitioned, a message appears at the top of dialog warning the user.
The following fields auto-populate from the Requisition > Detail record:

Select Skip Requisition Detail to skip adjusting parts quantities for one or more Detail record.
Enter Quantity to Remove from the various locations.
Quantity to Remove boxes, when summed, must equal Quantity Requisitioned for "OK" to enable.
The Quantity Remaining to Requisition will automatically calculate as Quantity Requisitioned - Quantity to Remove. This helps you see how much of the quantity is left to issue.
Click OK.
The system will display the Part ID for the next Detail record(s). When all Detail records have been skipped or adjusted, the toolkit window closes.
The adjusted Parts quantities in the Detail record(s) are updated.
A Part Transaction (trans type: Issue Parts) record will be written for each "From" location a quantity was pulled from.
Click the Toolkit and select Building Issue | Selected Record. The following pop-up appears:
This pop-up shows parts that can be issued to a Building from the Material Requisition record. It only shows parts that have enough On Hand Quantity in inventory to meet or exceed the requisitioned quantity.
If Detail has less in inventory than has been requisitioned, a message appears at the top of dialog warning the user.
The following fields auto-populate from the Requisition > Detail record:

From Location Name / From Location Description
Select Skip Requisition Detail to skip issuing one or more of the parts to a Building.
Select a Building to issue parts to.
Enter the Quantity to Transfer.
The Quantity Remaining to Requisition will automatically calculate as Quantity Requisitioned - Quantity to Transfer. This helps you see how much of the quantity is left to issue.
Click OK.
The system will display the Part ID for the next Detail record(s). When all Detail records have been skipped or issued to a Building, the toolkit window closes.
The Part will be transferred to the single specified Building for the quantity specified.
A Part Transaction (trans type: Issue Parts) record will be written for each "From" location a quantity was pulled from.
Click the Toolkit and select Create Purchase Order | Selected Record.
Enter a Purchase Date (required).
If a Vendor is defined on the Material Requisition record, that Vendor will be copied to this tool. If not, open the Vendor picklist and select a vendor.
If the part record is set up at the Vendor that is defined on the PO, then all the Vendor Part information will be populated in the PO Part record (i.e. Vendor Units, Ratio, Vendor Unit Cost, Part Units, Part Unit Cost).
If the Part record is NOT set up at the Vendor on the PO, then the resulting PO Part record will be blank and will require the user to manually enter the information on the Purchase Order Part record.
Click Select.
Click OK.
The system creates a new Purchase Order and opens the new record as a view.
If the "Auto-generate PO Numbers" Work Option is enabled, the PO Number will be auto-populated. If this option is not enabled, users may manually enter a PO Number or leave the field blank for the system to populate with the Purchase Order > Rec #.
These fields are carried over from the Material Requisition record (if available) to the new Purchase Order record:
Use the Filter tool to create a filter for the Purchase Orders you want to detach.
Click the Toolkit and select Detach Purchase Order | Current Filter. A message appears asking the user to confirm the number of records that will be affected by the action.
Click OK. A message appears confirming that the action will remove links to this PO.
Click OK. The toolkit runs and the Purchase Orders are detached from the Material Requisitions.
Select Material Requisition record(s). The record(s) must have a PO attached.
Click the Toolkit and select Detach Purchase Order | Selected Record(s). A message appears asking the user to confirm the number of records that will be affected by the action.
Click OK. A message appears confirming that the action will remove links to this PO.
Click OK. The toolkit runs and the Purchase Order(s) are detached from the Material Requisitions.
Click the Toolkit and select Employee Issue | Selected Record. The following pop-up appears:
This pop-up shows parts that can be issued to an Employee from the Material Requisition record. It only shows parts that have enough On Hand Quantity in inventory to meet or exceed the requisitioned quantity.
If Detail has less in inventory than has been requisitioned, a message appears at the top of dialog warning the user.

Select Skip Requisition Detail to skip issuing one or more of the parts to an Employee.
Select the Employee to issue parts to.
Enter Quantity to Transfer.
The Quantity Remaining to Requisition will automatically calculate as Quantity Requisitioned - Quantity to Transfer. This helps you see how much of the quantity is left to issue.
Click OK.
The system will display the Part ID for the next Detail record(s). When all Detail records have been skipped or issued to an Employee, the toolkit window closes.
The Part will be transferred to the single specified Employee for the quantity specified.
A Part Transaction (trans type: Issue Parts) record will be written for each "From" location a quantity was pulled from. The Part(s) can then be seen in the Returnable Parts Issued grid in the Employee Setup record or just the Transactions grid (if the Part is set as consumable).
Click the Toolkit and select Room Issue | Selected Record. The following pop-up appears:
This pop-up shows parts that can be issued to a Room from the Material Requisition record. It only shows parts that have enough On Hand Quantity in inventory to meet or exceed the requisitioned quantity.
If Detail has less in inventory than has been requisitioned, a message appears at the top of dialog warning the user.

Select the Room to issue parts to.
Enter Quantity to Transfer.

Click OK.
The system will display the Part ID for the next Detail record(s). When all Detail records have been skipped or issued to a Room, the toolkit window closes.
The Part will be transferred to the single specified Room for the quantity specified.
A Part Transaction (trans type: Issue Parts) record will be written for each "From" location a quantity was pulled from.
Select a single Material Requisition record that was created from a Work Order.
Click the Toolkit and select Send to Work Order. A pop-up similar to the following appears:
This pop-up shows the Parts that can be sent from the Material Requisition record. It only shows Parts that have enough On Hand Quantity in inventory to meet or exceed the requisitioned quantity.
If Detail has less in inventory than has been requisitioned, a message appears at the top of dialog warning the user.

Scenario 1: If the Work Option > Parts > Force disbursal from mobile warehouses is off, the Units are populated in the Work Order Material Resource records.
Scenario 2: If the Work Option > Parts > Force disbursal from mobile warehouses is on, the following occurs:
The Parts (Materials) are transferred to the mobile warehouse (Equipment Resource) that is listed on the same Work Order Task as the Materials.
A Parts Transaction record is created stating that the Parts were transferred to the mobile warehouse to be used on the Work Order.
Units are not filled out on the Materials on the Work Order Task. Material Units must be manually entered. Then Parts will be automatically disbursed from the mobile warehouse.
Select the Work > Work Requisition module, select a single record from the Work Requisition grid.
Click the Toolkit and select Transfer To Warehouse Location | Selected Record. A pop-up similar to the following appears:
This pop-up shows the parts from the Material Requisition record that can be transferred to another Warehouse. It only shows parts that have enough On Hand Quantity in inventory to meet or exceed the requisitioned quantity.
If Detail has less in inventory than has been requisitioned, a message appears at the top of dialog warning the user.
The following fields auto-populate from the Requisition > Detail record:

To Location / From Location / From Location Description
Select Skip Requisition Detail to skip adjusting one or more of the parts's quantities.
Select the To Location to select the destination warehouse location.
Enter Quantity to Transfer from the various locations.
The Quantity Remaining to Requisition will automatically calculate as Quantity Requisitioned - Quantity to Transfer. This helps you see how much of the quantity is left to issue.
Click OK.
The system will display the Part ID for the next Detail record(s). When all Detail records have been skipped or issued to a Warehouse, the toolkit window closes.
The Part will be transferred to the single specified Warehousefor the quantity specified.
