Request records can be linked to Work Orders, allowing agencies to track the history of a Request from the documentation of the issue to the completion of the work.
Work Order Grid
The Request > Work Order grid lists records from the Work Order module related to the Request.
Often, an agency configures Lucity to automatically generate Work Orders for certain types of Requests. But situations may arise that require a user to manually create a Work Order based on a Request.
In the Requests module, select one or more Requests for which you'd like to create a Work Order. All of these Requests should be related.
Click the Create Work Order button. The following pop-up appears:
Under Category Code, select the work category for the Work Order. The system automatically completes this field if a Category is listed on the Request.
The Select Template menu lists Templates from Lucity's PM/Templates whose Category matches that of the Request. Using a template can streamline data entry on the Work Order. If desired, select a template to apply to the Work Order.
Click OK. If there are open Work Orders related to any of the assets identified on the Request, a prompt asks whether the user wants to create a separate Work Order:
Note: This prompt appears only if the Notify user when Asset is already attached to an open Work OrderWork Option is enabled.
Click Yes to continue. Lucity creates a Work Order that includes all of the data from the related Request fieldsand WO Custom fields.
This Work Order is linked to the Requests selected in step 1 (above), as well as to any other Work Orders associated with those Requests.
The system opens the Work Order in a View. If the Work Order module provides multiple views, the user is prompted to select a preferred view:
Select a View from the list and click OK. The system displays the new Work Order. If no Work OrderView exists, the system creates the Work Order and a notation appears above the grid indicating that the operation succeeded.
In the Requests module, select the Request that you would like to associate with a Work Order.
In the record's Work Orders grid click the button. The following pop-up appears:
Select a Work Order from the list and click Select. The system links the Request to the Work Order, as well as to all Work Orders and Requests already associated with that Work Order. These records now appear in the selected Request record's associated Requests and Work Orders grids.
In the Requests module, click the button to expand the Request that is attached to the Work Order you'd like to disassociate.
In the record's Work Order grid, select the Work Order(s) you wish to disassociate from all linked Work Orders and Requests.
Click the button and select the Disassociate from all work orders and requests | Selected Records tool. The following pop-up appears, warning the user of the consequences of the action:
Click Yes. The tool runs, removing the selected Work Order's link to allWork Orders and Requests with which was associated. Note that the Request selected in Step 1 is still associated with any other Work Orders and Requests that this Toolkit was not applied to.
