Lucity has the ability to generate automated Notifications for Work Orders. These Notifications are often based on the Task noted on the Request record or the Supervisor assigned to oversee the work.
Any automated email Notifications the system sends in relation to the Work Order are recorded in the Work Order >Tracking grid.
Automated Notifications
Agencies can configure Lucity to automatically send a variety of email Notifications at different points in the lifetime of the Work Order:
Work Order Completion - Notifies the assigned Supervisor that the Work Order has been closed.
Leadworker - Notifies a Leadworker that he or she has been assigned to the Work Order.
Overdue Task - Notifies the assigned Supervisor that the Work Order remains open past the expected completion date.
Priority Change - Notifies the assigned Supervisor that the Work Order's Priority has changed.
Problem/Categorized Problem - Alerts designated users that a Work Order related to a particular Problem has been created.
Task/Categorized Task - Alerts designated users that a Work Order related to a particular Main Task has been submitted.
Start Date - Alerts the assigned Supervisor that a Work Order's Start Date is today. This is useful for Work Orders that are generated in preparation for upcoming work.
Supervisor - Notifies a Supervisor that he or she has been assigned to the Work Order.
Status Change - Notifies the assigned Supervisor of change in the Status of a Work Order.
In the System Configuration > Notification Setup module, click the button to create an Notification template.
Give the template a unique name using the Notification Label field (required).
In the Notification Type field, select the preferred notification method: 1: Email, 2: Report to Printer, or 3: Report to Default Printer. (Required.)
If you selected Email
Create a Subject line, and in the Message field, draft the body of the notification. Every WO Complete Notification the system sends will use this text.
Enter one or more email address in the Recipient List if desired.
If desired, use the Sender Type field to designate a specific sender for the WO Complete Notification and provide the Sender Email Address.
If you selected Report to Printer.
Enter the printer name in the Printer field.
Enter the filename of a report from the work order module in the Work Report field or the filename of a report from the work request module in the Request Report field.
If you selected Report to Default Printer.
Enter the filename of a report from the work order module in the Work Report field.
Enter the filename of a report from the work order module in the Work Report field or the filename of a report from the work request module in the Request Report field.
In the Notification Module field, select 1: Work Orders (required).
Open the Work > Administration > Work Flow Setup > Employee Setup module.
Select the employee you want to configure and click to open the record.
Make sure the Employee is marked as Active and as a Supervisor.
In the Supv Work Notif field, select the Notification template you created in step 1 above.
If the Notification is being sent via email, an email address must be provided in the Email field.
Click the button to save the record.
Repeat step 2for every employee who should receive this Supervisor Notification. Every time the Employee is selected as the Supervisor on a Work Order, the system will notify him or her using the designated template.
Note: The same Notification template can be assigned to multiple Employees.
Create a new Work Order or edit an existing record.
Use the Supervisor pick-list to choose the desired Employee. (Only Employees designated as Supervisor appear in this list.)
Save and Close the Work Order. The system will check the Employee record, and if the employee is Active, trigger the Notification specified in the Supv Work Notif field.
If the triggered Notification is an email message, the notification will be sent to the address listed in the Employee record's Email field. The email Notification is also sent to any additional recipients listed on the Notification Template.
Users have the ability to override most of the automated Work Order Notifications simply by checking the appropriate Override box on the Work Order form before saving the record. When one of the Override fields is marked, the system does NOT send the corresponding Notification.

Save and Close the Work Order. The system will check the Employee record, and if the employee is Active, trigger the Notification specified in the Lead Work Notif field.

General Work Task Notifications are designed to communicate standard messages regarding Work Orders to designated people via email or printed report.
Users can customize Work Task Notifications to meet their communications needs. Such messages are set up in the Notification module and applied through the Work Task Setup module's Notification grid.
For example, a user could set up a Work Task Notification to automatically inform Fred when a Sewer Cleaning work order is created.
In the System Configuration > Notification Setup module, click the button to create an Notification template.
Give the template a unique name using the Notification Label field (required).
In the Notification Type field, select the preferred notification method: 1: Email, 2: Report to Printer, or 3: Report to Default Printer. (Required.)
If you selected Email

In the Notification Type field, select the preferred notification method: 1: Email. (Required.)
In the Notification Module field, select 1: Work Orders.
Create a Subject line, and in the Message field, draft the body of the notification. Every WO Complete Notification the system sends will use this text.
If desired, use the Sender Type field to designate a specific sender for the WO Complete Notification and provide the Sender Email Address.

Open the Work Orders module.
Create a new Work Order or edit an existing record.
Set the Main Task on the Work Order.
Set the Supervisor on the Work Order.

Process Two: Change the Status of the Work Order When the Work Is Complete
When the work is complete, open the Work Order and update the Status to a number greater than950. This change will close the Work Order.
The system checks the Main Task's WO Complete field, and triggers the Notification listed in that field. The Notification is sent to the Supervisor listed on the Work Order, as well as any recipients listed on the Notification Template.
Users have the ability to override most of the automated Work Order Notifications simply by checking the appropriate Override box on the Work Order form before saving the record. When one of the Override fields is marked, the system does NOT send the corresponding Notification.

Overdue Notifications
Overdue Notifications let the person assigned as Supervisor on a Work Order know that the Main Work Task on the Work Order was not completed within the expected time frame.
Open the System Configuration > Options > Work Options module.
Under Dates, set the Default Number of Hours Worked per a Day.
Under Dates, designate the Default Work Order Start Time.
Continue to step 3 below.
Note: This is a one-time task.
Configure the Work Order Tasks
Open the Work Flow Setup > Task module.
Select the task you want to configure and click to open the record.
Enter the number of hours generally required to complete the Task in the EST Task Duration field.
Note: Step 2and step 3.c help Lucity calculate the Projected Compl Date/Time, two Work Order fields that estimate when the work should be completed. The Overdue Notification is designed to be sent the day after the Projected Compl Date/Time.
In the Overdue Notif field, select the Notification template you created in Process One above.
Click the button to save the record.
Repeat step 3for all Tasks that you want to trigger the the Overdue Notification.
Continue to step 4 below.
Verify That Supervisor Email Addresses are Supplied
Open the Work > Administration > Work Flow Setup > Employee Setup module.

After these processes have been complete, if a Work Order's Main Task is configured to trigger the Overdue Notification and the Work Order remains open after the projected completion date, the system will notify the Supervisor listed on the Work Order.

Set the Main Task on the Work Order.
Set the Supervisor on the Work Order.
Enter the Start Date.
Save the Work Order. The system automatically calculates the Projected CompletionDate.
During its overnight processes, Lucity Services checks all Work Orders to determine if any have a Status that is less than 950 (indicating that the Work Order remains open) and a Projected CompletionDate that is older than the system date.

The Employees assigned as Supervisors on Work Orders can be sent email notifications informing them if the priority changes on their Work Order.

Start Date Notifications
This function allows a single email notification to be sent on the Start Date of a Work Order, in addition to any notifications sent on the work order creation date.
Usually a work order is created shortly before the work needs to be done. All task notifications are sent when a work order is created. However, there are times when a work order is generated ahead of time, either manually or using a PM. In these cases it might be better to have a notification generate on the Work Order's start date reminding employees of the work.
In the System Configuration > Notification Setup module, click the button to create an Notification template.
Give the template a unique name using the Notification Label field (required).
In the Notification Type field, select the preferred notification method: 1: Email. (Required.)
In the Notification Module field, select 1: Work Orders.
Create a Subject line, and in the Message field, draft the body of the notification. Every Start Date Notification the system sends will use this text.
If desired, use the Sender Type field to designate a specific sender for the WO Complete Notification and provide the Sender Email Address.
Click the button to save the record.
Configure Work Order Task Records
Open the Work > Administration > Work Flow Setup > Task Setup module.
Select the task you want to configure and click to open the record.
In the Start Date Notif field, select the Notification template you created in Process One above.
Click the button to save the record.
Repeat step2 for all Tasks that you want to trigger the the WO Complete Notification.
Continue to step 3below.
Verify That Supervisor Email Addresses are Supplied
Open the Work > Administration > Work Flow Setup > Employee Setup module.
Select the employee you want to configure and click to open the record.
Make sure the Email field is filled out for any Supervisor who might be assigned to a Work Order.
Every time that a configured Task is used as a Main Task on a Work Order, and the necessary conditions are met the related Supervisor will receive a Notification on the Work Order's Start Date.
Users have the ability to override most of the automated Work Order Notifications simply by checking the appropriate Override box on the Work Order form before saving the record. When one of the Override fields is marked, the system does NOT send the corresponding Notification.
Override Fields
Leadworker
Prevents the system from sending the Leadworker Notification for the particular Work Order.
Overdue
Prevents the system from sending the Overdue Task Notification for the particular Work Order.
Work Order Overdue Notifications can also be globally overridden by enabling the Disable Work Order Overdue Notifications item in Lucity's Work Options.
Problem
Prevents the system from sending the General Problem Notification for the particular Work Order.
Problem Notifications may also be overridden in the Work Request module.
Supervisor
Prevents the system from sending the Supervisor Notification for the particular Work Order.
Task
Prevents the system from sending the General Task Notifications for the particular Work Order.
Note:Start Date, Priority Change, Work Order Completion, and Status ChangeNotifications CANNOT be overridden.
Status Change Notifications
A Status Change Notification alerts the assigned Supervisor via email of Status changes associated with a particular Main Task on an open Work Order.
Note:Status Change Notifications cannot be overridden. That is, once the Status Change Notification is enabled for a Work Order Task, users do not have the ability to prevent the system from sending the notification for a particular Work Order.
Related Work Options
Prompt for Comment on Status Change For WO associated to Request - When enabled, and the work order is linked to a request, changing the status will cause a pop-up to prompt for a reason. When filled out the reason is saved in the Work Order Comments grid.
Send Status Change Notifications to Requesters - When enabled, and the work order is linked to a request, changing the status will send the Status Change notification to the requestors in the related Work Request > Requestors grid.
Configure the desired Work Task to send Status Change Notifications. (These steps must be repeated for every Task you wish to generate Notifications.)
Open the Work Flow Setup > Work Task Setup module.
Select the task you want to configure and click to open the record.
Use the Status Change Notif field to select the Email Notification Template you wish to send.
Click the button to save the record.
Once the setup process is complete, every time that Task appears as a Main Task on a Work Order and a user changes the Status of the Task to something less than 950, the system will send the designated Notification to the email addresses in the Recipient list.
Note: The Work Task must be selected as the Main Task on the Work Order to trigger the related Notification.
Change the Status field to a new value that is less than 950.
Save the Work Order. The system then checks the Status Change Notif field on the Main Task. If a Notification is listed there, the following happens:
If the Prompt for Comment on Status Change For WO associated to Request work option is enabled and work order is linked to a request, the following pop-up will appear:
Enter a reason for the status change and click OK. The reason will be saved in the Work Order > Comments grid.
Lucity sends that Notification via email to the recipients listed on the Notification Template.
If the Send Status Change Notifications to Requesters Is enabled, and the work order is linked to a request, Lucity sends the Notification to the requestors in the related Work Request > Requestor grid.
