The Computer Hardware modules store records for your agency's computer hardware infrastructure. These modules enable you to track and maintain the physical components of a computer, such as the central processing unit (CPU), monitor, keyboard, computer data storage, graphic card, sound card, speakers and motherboard.
In addition to documenting hardware specifications, this module makes the job of the IT director and technical support staff easier in the following ways:
Enables you to easily determine which hardware items are in use and which items are either available for use or out of service.
Identifies the location of the computer hardware and allows you to view its movement - and thus, its use - over time.
Tracks when peripheral hardware was installed or added to the computer. For example, an IT administrator may add RAM or provide the user with a new monitor.
Provides information about when IT contacts an external technical-support provider about a piece of computer hardware.
Common Tasks
To open this module, select IT > Computer Hardware.
Open the Computer Hardware module by selecting IT > Computer Hardware.
Click Add . The Computer Hardware form opens.
Enter a Computer Hardware Alt ID. The user can define this ID or if the field is left blank, the system will auto assign an ID. This value is required and must be unique.
Select the Status of the computer hardware. The Status Date and Status Time will be automatically populated when the status is selected.
Select the Hardware Type to indicatethe desired item.
Select the Manufacturer of the computer hardware.
Identify the Model Number, Serial Number, Asset Tag ID and MAC Address. Enter when the computer hardware was installed and by whom, and who it was Assigned To. Enter other identifying attributes.
Use the Related Module Link fields (Building ID, Floor ID, etc.) to assign the computer hardware to a specific building, floor, etc.
Click the button and select Add Replica Record | Selected Record. The following pop-up appears, asking for confirmation:
Click OK. Another pop-up opens:
Provide a new Alt Computer Hardware ID. This is required and must be unique.
Click OK. When the Toolkit is finished running, your new Computer Hardware record appears in the grid. The new record contains the same information as the original record.
