Creates a new Fleet record with data identical to the tasks, parts, components, warranty and insurance information of the selected Fleet record. It also carries over all information from the detail form to the new Fleet record.
This toolkit streamlines the process of creating new Fleet records.
In the Fleet module, select the Fleet record you would like to copy.
Click the Toolkit and select Add Replica Record | Selected Record. The following pop-up appears asking for confirmation:
Click OK. A new screen appears asking for the New Fleet Code:
Enter the New Fleet Code. This value is required and must be unique.
Click OK. The Toolkit creates a new Fleet record, carrying over all form information, tasks, parts, components, warranty and insurance information associated with the original record to the new Fleet record.
Blank Eval Current Date | Current FIlter
Clears the Current Date field (evaluation fields) on all records in the current filterset.
Use the Filter tool to create a filter for the records you want to update.
Click the Toolkit and select Blank Eval Current Date | Current Filter. A prompt similar to the following indicates the number of records that will be affected by the action:
Click OK to run the tool and clear the field. The Current Date field will be cleared on all records in the current filterset.
Blank Eval Current Date | Selected Record(s)
Clears the Current Date field (evaluation fields) for the records currently selected in the grid.
Click the Toolkit and select Blank Eval Current Date for Selected Records. The following pop-up will appear:
Click OK. The system clears the Current Date fields on all selected records.
Calculate Fleet Rate | Current Filter
Recalculates the Depreciation Amount, Book Value, Hourly Cost fields (cost related fields) and Used Cost field (evaluation fields) on all records in the current filterset.
Use the Filter to create a filter for the records you want to update.
Click the Toolkit and select Calculate Fleet Rate for Current Filter. A prompt similar to the following appears indicating the number of records that will be affected:
Click OK. The Depreciation Amount, Book Value,Hourly Cost, and Used Cost fields will be recalculated for all records in the current filterset.
Calculate Fleet Rate | Selected Records
Recalculates the Depreciation Amount, Book Value, Hourly Cost fields (cost related fields) and Used Cost field (evaluation fields) for all records selected in the Fleet grid.
Click the Toolkit and select Calculate Fleet Rate for Selected Record(s). The following popup appears:
Click OK. The Depreciation Amount, Book Value, and Hourly Cost fields will be updated for the selected record(s).
Calculate Fueling Averages | Current Filter
Recalculates the Avg Days/Amount, Avg Miles Amount, Avg Hours/Amount, Avg Other/Amount fields (summary fields) on Fueling records related to the Fleet records in the current filterset.
Use the Filter to create a filter for the records you want to update.
Click the Toolkit and select Calculate Fueling Averages | Current Filter. A prompt similar to the following appears indicating the number of records that will be affected:
Click OK. The Avg Days/Amount, Avg Miles Amount, Avg Hours/Amount, Avg Other/Amount fields will be recalculated for all fueling records related to all records in the current filterset.
Calculate Fueling Averages | Current Filter
Recalculates the Avg Days/Amount, Avg Miles Amount, Avg Hours/Amount, Avg Other/Amount fields (summary fields) on Fueling records related to the Fleet records selected in the Fleet grid.
Click the Toolkit and select Calculate Fueling Averages | Selected Records. The following popup appears:
Click OK. The Avg Days/Amount, Avg Miles Amount, Avg Hours/Amount, Avg Other/Amount fields will be updated for fuelings related to the selected record(s).
Calculate Hourly Cost | All Records
Calculates the Hourly Cost field (cost-related fields) for all records. The Houly Cost value represents the dollar amount required to run the vehicle for one hour.
Click the Toolkit and select Calculate Hourly Cost | All Records. A prompt similar to the following indicates the number of records that will be affected by the action:
Click OK. The tool runs and updates the Hourly Cost field on every Fleet record.
Calculate Remaining Useful Life | Current Filter
Calculates the Odometer or Other Used fields (Evaluation fields) for all records in the current filterset.
Use the Filter to create a filter for the records you want to update.
Click the Toolkit and select Calculate Remaining Useful Life | Current Filter. A popup appears indicating the number of records to be affected by this action:
Click OK.
The Risk, Current Date, Amount Used Date, Remaining Date, Used Odometer, Remaining Odometer, Actual Odometer, Remaining Life, Cost Per Odometer, Maint Cost/Odometer, Used Hourmeter, Remaining Hourmeter, Actual Hourmeter, Remaining Hour Life, Cost Per Hourmeter, Maint Cost/Hourmeter, Used Other Meter and Remaining Other Meter fields will be updated for the records in the current filter. The Amount Used field will also be updated.
Note: The toolkit is only focused on the Meter fields and will not update the Cost fields.
Calculate Remaining Useful Life | Selected Record(s)
Recalculates the following fields for selected record(s):
Select one or more vehicle records in the Fleet grid.
Click the Toolkit and select Calculate Remaining Useful Life for Selected Record(s). The following popup appears:
Click OK. The Risk, Current Date, Amount Used Date, Remaining Date, Used Odometer, Remaining Odometer, Actual Odometer, Remaining Life, Cost Per Odometer, Maint Cost/Odometer, Used Hourmeter, Remaining Hourmeter, Actual Hourmeter, Remaining Hour Life, Cost Per Hourmeter, Maint Cost/Hourmeter, Used Other Meter and Remaining Other Meter fields will be updated for the records in the current filter. The Amount Used field will also be updated.
Note: The toolkit is only focused on the Meter fields and will not update the Cost fields.
Close Expired Insurance Cost Records | Current Filter
Checks all Insurance Cost records associated with the Fleet records in the current filterset to determine whether the policy has expired (i.e., Expiration Date < current date).
If the policy has expired, the system automatically checks the Closed field on those Insurance Cost records.
Use the Filter to create a filter for the Fleet records that you want to check.
Click the Toolkit and select Close Expired Insurance Cost Records | Current Filter. A pop-up similar to the following appears indicating the number of records that the tool will run against:
Click OK. The expired Insurance Cost records related to the selected Fleet record(s) in the current filterset will be marked as closed.
Close Expired Insurance Cost Records | Selected Records
Checks all Insurance Cost records associated with the Fleet records currently selected in the grid to determine whether the policy has expired (i.e., Expiration Date < current date).
If the policy has expired, the system automatically checks the Closed field on those Insurance Cost records.
Click the Toolkit and select Close Expired Insurance Cost Records | Selected Record(s). A pop-up similar to the following appears indicating the number of records that the tool will run against:
Click OK. The expired Insurance Cost records related to the selected Fleet record(s) will be marked as closed.
Recalculate Fleet Summary Fields for Current Filter
Recalculates the calculated evaluation fields for all records in the current filterset.
Select one or more Fleet records that you want to check.
Click the Toolkit and select Recalculate Fleet Summary Fields | Selected Record(s).
The tool runs and updates all of the evaluation-related fields for the selected record(s).
Recalculate Travel Log Meter Readings using Miles/Hours | Current Filter
Recalculates the Starting/EndingOdometer and/or Hourmeter on all Travel Logs related to Fleet records in the current filterset. The Mileage and Hours used in each recalculated Travel Log will remain the same.
While this recalculation happens automatically if the Travel Log is deleted through Lucity Web, you must use this toolkit to force recalculation from a selected date on Travel Logs deleted through other methods.
Use the Filter to create a filter for the Fleet records on which you wish to update the Travel Log Odometer and/or Hourmeter Readings.
Click the Toolkit and select Recalculate Travel Log Meter Readings using Miles/Hours | Current Filter. The following pop appears asking you to confirm the number of records to be affected by running this toolkit:
Click OK. The following window opens:
Enter a Start Date (required). This tells the system the date from which to recalculate or reset the Starting Odometer and/or Hourmeter.
Click OK. The system will confirm that the tool successfully performed the following:
Recalculated the Travel LogStarting Odometer and/or Hourmeter from your selected Start Date.
Used the existing Mileage and/or Hours Used to recalculate the Ending Odometer and/or Hourmeter.
Recalculate Travel Log Meter Readings using Miles/Hours | Selected Record(s)
Recalculates the Starting/EndingOdometer and/or Hourmeter on all Travel Logs related to selected Fleet record(s). The Mileage and Hours used in each recalculated Travel Log will remain the same.
While this recalculation happens automatically if the Travel Log is deleted through Lucity Web, you must use this toolkit to force recalculation from a selected date on Travel Logs deleted through other methods.
