Special Fields

Special fields perform distinctive functions. Those labeled with a specific module name only appear within that module.

ID Fields

Each asset inventory record in Lucity has two ID fields. The Alt ID and the Record Number

• Alt ID - The primary user-defined ID field for most modules within Lucity.
  • Alt ID is a required text field that provides each record with a unique identifier.
  • Also called: Alt ID, Common ID, Common Link, Asset Number
  • Auto populate - Modules in Lucity Web can be configured to automatically populate this field.
    • To do this you need to make the field not required on the global level and on the form you use to add records.
    • Create a new record.
    • When you save the record it will automatically populate the Alt ID with the Rec #.
• Rec # - The database-assigned ID for every record stored within the Lucity database.
  • The Rec # is automatically generated when the user creates a new record in Lucity. It cannot be changed.
  • Also called: Lucity Auto ID

Street Fields

In Street fields, users can begin to type the name of the street, and Lucity will automatically search the whole street name for all possible matches. It then displays the first 10 matches.

Note: The typed-in value must match something in the list. For example, if a user types in East, the system would not produce the streets that simply begin with an E (for East).

Street Signs - Special Field

A special field is used to display the image associated with a Street Sign Inventory or Street Sign Library record.

Click on this field to change the image that is displayed for that record.

Street Intersections - Special Field

A special form field is used to display a diagram of a street intersection for a Street Intersection Inventory record.

Note: Internet Explorer does not display this field properly in Compatibility View. To disable Compatibility View, go to Tools > Compatibility View Settings and disable the Display intranet sites in Compatibility View option.

Special Hotkeys

Several form fields allow users to press the F5 key to copy a value from one field to another. Such fields are listed below:

• In Requests, the value in the Phone field can be copied to Home Phone, Phone 1, Phone 2, or Work Phone.
• In Work Orders and Work Tasks, the value in the Start Date field can be copied to the End Date.
• In Work Orders, the value in the Total Cost field can be copied to the Billing Amount.
• In Fleet Travel Log, the value in the Start Date field can be copied to the End Date.
• In Fleet and Equipment, populates the WO Equip Code with a related value.

  Note: Request forms now have a "look up" function. Fields with this function allow you to type information, click on the Lookup button, and select the correct record to fill in the rest of the information on the request.
