Special Functions

Below is a list of fields in the Tasks grid that have additional functions.

Account #

If you have the "Populate WO Acct# from Main Task #" option in Work Options set to "yes," this field will automatically be populated with the same default account number as the task selected in the Main Task field.

Also, if you have the "Populate Empty WO Task Acct # with Main #" option in Work Options set to "yes," this field will automatically populate the Account Number field in the Tasks grid in the work order. Or, if you have the "Populate Empty WO Resource Acct # with Main #" option in Work Options set to "yes," this field will automatically populate the Account Number field in the Resources grid in the work order.

Note: If work options are set to have Work integrate with an outside financial accounting system, the account # field will appear "grayed out" and will not allow data entry. Click on the field caption to receive directions for attaching an account # to a grayed out field. This is not a required field.

Proj No-Acct

If you have the "Populate WO Acct# from Main Task #" option in Work Options set to "yes," this field will automatically be populated with the same default project number account as the task selected in the Main Task field.

Also, if you have the "Populate Empty WO Task Acct # with Main #" option in Work Options set to "yes," this field will automatically populate the Project Number Account field in the Tasks grid in the work order. Or, if you have the "Populate Empty WO Resource Acct # with Main #" option in Work Options set to "yes," this field will automatically populate the Project Number Account field in the Resources grid in the work order.

Note: If work options are set to have Work integrate with an outside financial accounting system, the Proj No - Acct field will appear "grayed out" and will not allow data entry. Click on the field caption to receive directions for attaching a Proj No - Acct to a grayed out field. This is not a required field.

Unit of Measure

If the Lock UOM checkbox is marked in the associated Work Flow Setup, Task record, the Unit of Measure will be automatically populated by the system. If this is the WO Main Task, this field can be edited as needed. If this is a WO Sub Task, the data in this field will be read-only. Follow the link for additional information on the UOM and Locking mechanism.

Use Resource Info -Actual Checkbox

If this checkbox is marked, the actual labor hours and other cost data will automatically be populated in the appropriate fields from the Work Orders Resource grid. If this checkbox is not marked, you will be able to manually enter data in these fields.

Use Resource Info -Estimated Checkbox

If this checkbox is marked, the estimated labor hours and other cost data will automatically be populated in the appropriate fields from the Work Orders Resource grid. If this checkbox is not marked, you will be able to manually enter data in these fields.

Labor Hour Fields

In these fields you can enter the estimated and the actual amount of time required to complete the task. The difference between the estimated time and the actual time is automatically calculated in the difference field.

Note: If the Use Resource Info checkboxes are marked, data will automatically be populated in these fields from the Work Orders Resource grid.

Labor Cost Fields

In these fields you can enter the estimated and the actual cost of labor to complete the task. The difference between the estimated cost and the actual cost is automatically calculated in the difference field.

Parts Cost Fields

In these fields you can enter the estimated and the actual cost of the parts used to complete the task. The difference between the estimated cost and the actual cost is automatically calculated in the difference field.

Fluids Cost Fields

In these fields you can enter the estimated and the actual cost of the fluids used to complete the task. The difference between the estimated cost and the actual cost is automatically calculated in the difference field.

Equipment Cost Fields

In these fields you can enter the estimated and the actual cost of the equipment used to complete the task. The difference between the estimated cost and the actual cost is automatically calculated in the difference field.

Contractor Cost Fields

In these fields you can enter the estimated and the actual cost of the contractor used to complete the task. The difference between the estimated cost and the actual cost is automatically calculated in the difference field. Note: If the Use Resource Info checkboxes are marked, data will automatically be populated in these fields from the Work Orders Resource grid.

Misc. Cost Fields

In these fields you can enter the estimated and the actual cost of any miscellaneous items used to complete the task. The difference between the estimated cost and the actual cost is automatically calculated in the difference field.

Note: If the Use Resource Info checkboxes are marked, data will automatically be populated in these fields from the Work Orders Resource grid.

# of Units

This field can be calculated from asset information if properly configured. This configuration is based on how the category is set up in conjunction with the task dates and asset completion dates. If the category is configured to summarize on a particular field or to count the assets and the asset completion date falls between the task start and end dates, this field will auto calculate. See Adding a Category for category configuration information.

Unit Cost Field

The unit cost can be entered manually, or populated based on a default value defined in the Task Setup module. If Use Resource Costing is enabled, and if there is number of units defined, the software will automatically calculated the unit cost as the Total Cost/# of Units.

Total Cost Field

These fields automatically total the estimated cost fields together, the actual cost fields together, and the difference fields together to show you the total cost for each.

Lock Task Units

This field allows you to manually enter task units and prevents the software from overwriting the task units with a calculated value.

Units Calc Method

This field displays how the software is performing calculations. Ex. Count, Sum, Null. Note: Null means that no calculation was performed.
