To ensure successful integration between the Lucity and Eden Integration modules, the following actions must occur:
Lucity Database Setup
The EDEN_ACCTNO view must exist in the Lucity database. This must reference the Eden SQL Server and the Eden database view ESGBAACV.
The Eden ESGBAACV applies the following filters for general ledger accounts
Only includes expenditure GL accounts
Status = 0 (Active)
Only includes GL accounts with the Lucity account field selected
Only includes GL account in the year set in the General Ledger>Setup>Fiscal Classes\Period form Current year field
Only includes GL accounts in funds that are assigned to the default fiscal class set in the General Ledger>Setup Controls
Lucity Setup
Work Options
The following setup must be completed to allow Work Order data to be imported from the Lucity Work Orders module into the Eden Account Receivable module. The following options are found under Work > Administration > Work Options > Financial Integrations tab In Lucity.
Integration of Eden Financial Accounts - This option must be enabled.
Eden Account Number Levels - Enter the number of Eden Expenditure Account Levels that you use. Eden account numbers are comprised of multiple levels or segments. This option specifies the maximum number of segments allowed per account number. For example, if 3 is the specified number for this option, then each account number can only contain three segments; thus, only three segment fields will be enabled when you add an account number. The account number data entry form must be used to enter an account number (i.e. account numbers cannot be typed free-form).
Note: Only 3 segment fields are available because the number 3 was specified in the Eden Account Number Level Option.
Account Number Delimiter - Enter the Eden Expenditure Account Delimiter that you use. This option allows agencies to specify a character used to define different segments of the account number (e.g. dash or asterisk that separates each segment of the account number).
Lucity must use the same delimiters that are used in Eden. This ensures that the number will validate.
Use Partial Defaulting for Accounts - (Optional) When this option is enabled, agencies can use the Work Flow Setup modules to assign a default account number to each employee, task, and category that may be used in a work order. Then when a work order is created, the corresponding account numbers are combined (using the specified delimiter) to create one account number for the work order. For example, if you have a category account number of 1133, a main task account number of 0033, and an employee account number of 2233, the work order account number might resemble 1133-0033-2233. The length of the work order account number will depend on how many levels or segments you have specified in the Eden Account Number Levels option.
Note: When using this option, we recommend enabling the Populate WO Acct # from Main Task #, Populate Empty WO Task Acct # w/ Main #, and Populate Empty WO Resource Acct # w/ Task options.
Work Flow Setup
To attach Work Order Resources to general ledger accounts, the Journal Entry Import field must be checked on the Work Flow Setup records. This field must be checked on all Work Flow Setup records that will be imported into the Eden general ledger, including those in the following modules:
Equipment
Contractors
Fluids
Employees (Employees integrated with the InForum Gold Payroll module should never have the Journal Entry flag turned on.)
Materials (Materials integrated with InForum Gold Inventory module should never have the Journal Entry flag turned on.)
Note: Changes to the Journal Entry flag can only be made from the Work Flow Setup modules. If a flag is changed, it affects only future use of the resource; that is, it does not update existing Work Orders).
Eden Setup
