Properties are the primary content on forms and are made up of one or more fields. These enable users to view and edit data within a module.
Checkbox Fields
Checkboxes, also called Boolean fields, are used to indicate that a data type has only two possible values.
Example: The work order is Hard Locked or it is not.
Date/Time Fields
Date/Time fields store a calendar date or time of day. These types of fields are often grouped together.
To manually enter a date, type the date in the the mm/dd/year format.
Use the Calendar and Clock buttons (see example, below) to select the date or time from a pop-up widget.
To automatically enter the current date, click inside the field and press the space bar. The system supplies the current date/time.

Number Fields
Number fields only allow users to enter numerical values. Depending on the field properties, numbers may or may not be permitted to contain negatives or decimals.
Example: The first box in an Address field only allows users to enter a street number.
Text Fields
Text fields allow users to enter letters and/or numbers in these fields. Lucity text fields vary from four to 100+ characters in length.
Example: Contact Name fields, Comment fields, etc.
Picklist Fields
Picklists allow users to select a value from a predefined list. Lucity picklists often consist of two fields: One contains a Code and the other a Description or Type. Sometimes the available values are carried over from another module (e.g., assets lists, resource options, locations, etc.).

Codes
The code portion of a picklist field can either be a number or text field.
Numeric - These pick-lists allow only a number in the Code field.
Alphanumeric - These pick-lists allow a mix of numbers and letters in the Code field.
Selectable Values
The values users can select in picklists come from one of two sources:
User-defined picklist - These picklists often track an attribute. The values available in these picklists are established by the agency using Lucity.
Module-defined picklist - These picklists are used to select a record from another module in the Lucity system. The values available in these picklists are automatically populated using data from the related module.
PickList Appearance
Single drop down - Both code and description are displayed but the values are selected from a drop down list in the description field that displays the Code and Description together.
Dual drop down - Separate drop down lists for the codeand description. When the user makes a selection in one field, the system automatically completes the other field.
Picklist - An empty text box for the codeand a button next to the description. Enter the code and exit the field to automatically populate the description, or, click the button to view a pop-up window of options.
Note: Sometimes a picklist will not show all values.
An administrator may have setup a Limit List to limit the number of options in the field.
Click on the Picklist button to the right of the field. A pop-up similar to the following appears:
Filtering
To filter for specific data in a pick-list, type a desired value in the blank fields at the top of column (highlighted in orange). The system narrows down the available options by looking for options that contain the value typed into that column. For example, if the user enters Main in the Street column, the filter finds every Street record that contains Main.
To filter for all columns at once, type a desired value in the blank field at the top of the dialog (outlined in blue). The system narrows down the available options by looking for options that contain the value in any column.
Paging - Click on the arrowbuttons at the bottom of the pop-up to move through multiple pages of options.
Double-click on a desired option or highlight the option and click Select. The selected option is added to the picklist field on the form.
Not all picklists can be modified using the method described below. Some picklists are created/modified through a special Setup module; therefore, editing tools are not available within the picklist. To modify such a picklist, open the related Setup module and modify the list of values.
The method described below requires the Popup Lists - Edit permission for the related module.
Select the pick-list field to modify.
Click the button. A pop-up similar to the following appears. If the pick-list can be edited, an Edit List button appears at the bottom.
Click the Edit List button. The Add New, Edit Selected, Delete Selected, and Exit Editing buttons appear:

Sort the columns by clicking on the Code or Type headings.
Select the value you would like to edit in the list and click Edit Selected. The following pop-up appears:

Picklist options listed in gray are hard-coded and cannot be edited.
Codes have to be unique; Types do not.
Click Save to exit the dialog. The changes appear in the Edit mode list.
Click Exit Editing to leave Edit mode and select a picklist item.

Special Functions
Several form fields have special functions tied to them that must be run manually. These functions are accessed by clicking the down arrow to the right of the field and selecting the function you wish to perform.
ID Fields
Each record in Lucity has two ID fields. The Alt ID and the Record Number.
Common ID - The primary user-defined ID field for most modules within Lucity.
Common ID is a required text field that provides each record with a unique identifier.
Also called: Alt ID, Common Link, Asset Number
Auto populate - Modules in Lucity Web can be configured to automatically populate this field.
To do this you need to make the field not required on the global level and on the form you use to add records.
Create a new record.
When you save the record it will automatically populate the Common ID with the Rec #.
Rec # - The database-assigned ID for every record stored within the Lucity database.
The Rec # is automatically generated when the user creates a new record in Lucity. It cannot be changed.

Note: Other records may have more identifying fields. For example inspections use a combination of the parent asset's Record Number and the inspection Date.
