Filter String Grid

The Filter String grid feature allows you to use a filter from an Inventory module to add multiple Assets to a Work Order generated from a PM.  The grid can contain multiple filter strings, with the potential to pull in assets from several modules.

Example

You are creating a PM for a drainage basin. You could list all of the pipes individually in the Assets grid; however, it would be difficult to keep this list updated.  It would be easier to use a filter created in the Pipe Inventory module.

Alternatively, you can do both: add assets manually and use a filter.  An example is shown in the Assets tab pictured below. In this tab, two assets have been added manually to the grid and a filter string has been created.  The resulting work order will contain these two assets AND all records that meet the filter criteria.

A sample of the Filter String grid appears below. Sort records in each grid by clicking on the headings.  An up or down arrow (highlighted in orange below) indicates whether data appear in ascending or descending order.

 

How To Add a Filter String

  1. Decide which Asset type should be added to the Work Order.
  2. Go to the module for that Asset type and create a filter to identify the assets that should be added to the work order.
  3. Save the filter with a distinct name.
  4. In the PM/Template module, locate the desired PM record and open the Assets tab.
  5. Right-click in the FIlter String grid and select Add Record. The following pop-up appears:

  6. Select a Category for the desired Asset type. Click on the field name or press F9 within the field for a list of categories.
  7. Select the Filter Name from the Asset module in which it was saved in Step 3. Click on the field name or press F9 within the field for a list of saved filters.
  8. Save and close the record. The Filter now appears in the Filter String grid. Consequently, when the PM generates a work order, the system runs the filter, and adds the filtered assets to the Work Order's Asset grid.
  9. Repeat this process for any other desired asset filters.
