An Email Notification is a feature that directs Lucity to send a standard message to designated recipients via email providing them with information out of the Lucity system.
Email Notifications are sent in two ways:
Automatically - Lucity sends the message when criteria established within the module is met.
A supervisor is alerted that they have been assigned a work order.
or
Manually - Lucity sends the message when prompted by a module user.
A water manager sends a reminder email to customers that they need to have their backflow preventers tested.
Email Notifications can be created for any module that supports Notifications.
Administrators create Email Notifications using the Notification Setup module. During this process, they designate default recipients; however, Lucity will also send Email Notifications to recipients specified in the module launching the Notification.
Who should receive the notification? Who will receive the notification automatically (based on the module it is sent from)? Should anyone regularly receive this email who won’t get it automatically.
What information is important to include in this email? Is there any relevant module data that Lucity could auto-insert into the subject or body of the email?
Open the System Configuration >Notifications module.
Click the button. The Notification Setup form appears.
Enter a unique title for the notification in the Notification Label field. This is the name that will appear in related Notification pick-lists.
Select Email as the Notification Type.
Select the module in which this Notification will be used.
In the Recipient List field, enter the email address of each person who should receive the Notification. Separate addresses with a semi-colon (NOT a comma). "Blind cc" emails are not permissible. (That is, all email addresses will be visible to all recipients.)
Note: The designated recipients will receive this Notification EVERY TIME it is used—whether they are specified through the sending module or not.
Note: Many of the Lucity modules that send Email Notifications automatically determine the message recipient(s) based on module data; therefore, not every template must have a specified a Recipient List. However, a user can use the template's Recipient List field to identify people who wish to always receive a particular notification, regardless of the other recipients.
Enter the Subject.
Enter the Email Body.
Note: To add another line into the Email Body section, press CTRL+Enter.
Complete the CC Recipients, Sender Type, and Sender Email Address as needed.
Use the DocumentAttach box to mark whether you want Documents to the attached to the email.
