The initial steps required to set up the Timesheet involve:
ensuring that users have permission to access the the Timesheet; and
confirming that users are in groups to which the Timesheet can be applied.
Timesheet Groups
Administrators can streamline the process of granting Timesheet permissions by creating Timesheet Groups. This step is not required; however, it does simplify the process.
When setting up security for timesheets there are 5 types of users you will need to think of: People who need to enter time, people who need to approve time, people who need to lock time, people who need to set pay periods, people who need to setup timesheets. The following setup is suggested but you may find that in your organization you need to configure it differently.
Open the Security program and go to Security > Users/Groups Setup.
Create the following security groups as needed:
WTS_TimesheetUser - Holds all users that need to enter time on their timesheets.
WTS_TimesheetApprover - Holds supervisors who need permission to approve timesheets.
WTS_TImesheetAdmin - Holds users that will create timesheets, assign them to users, and Create Pay Periods.
Note: If needed you can break these down into further groups with more specific permissions.
Assign regular users to the WTS_TimesheetUser group. These people will be able to enter time.
Assign work supervisors and payroll supervisors to the WTS_TimesheetApprover group. These people will be able to enter time, approve their users time, and lock their users timesheets.
Assign employees who will design timesheets and manage pay periods to the WTS_TimesheetAdmin group.
Note: When establishing security groups for Timesheets, it's important to consider your agency's broader group set up within Lucity, as well. In a later step, you will assign Timesheets to groups. An agency could choose to assign one or more Timesheets to all Timesheet users. Or, it could choose to apply different Timesheets to different department security groups (e.g., Sewer department vs. Streets department), depending on their needs. This is a good opportunity to confirm that users are in groups that make sense for your organization.
Within the Security program, go to Security > Permissions Setup.
On the left side, select the WTS_TimesheetAdmin group.
On the right side, expand the Work category and mark the Timesheet option.
Select the Edit Own Record, General – Edit, Allowed to Approve and Lock Timesheets, Allowed to Edit Pay Periods, Allowed to Create and Assign Timesheet Forms, and Run permissions.
Click the << Grant button in the middle of the screen. The new permissions are now granted.
