The initial steps required to set up the Timesheet involve:
ensuring that users have permission to access the the Timesheet; and
confirming that users are in groups to which the Timesheet can be applied.
Timesheet Groups
Administrators can streamline the process of granting Timesheet permissions by creating Timesheet Groups. This step is not required; however, it does simplify the process.
Open the Security program and go to Security > Users/Groups Setup.
Create two new security groups: 1) one for Timesheet Users and 2) one for Payroll Administrators.
Doing so will make it easier to identify users who should or shouldn't have permissions for different parts of the Timesheet.
Assign regular users and supervisors to the Timesheet Users group.
Assign employees who will review or manage the Payperiods and review payroll to the Payroll Administrators group. In most cases, Payroll Administrators are the Human Resources employees who review timesheets, lock time timesheets, and set up pay periods,
Assign employees that will design timesheets and manage which users use which timesheets to a group that has the Lucity App Admin > Run permission.
Note: When establishing security groups for Timesheets, it's important to consider your agency's broader group set up within Lucity, as well. In a later step, you will assign Timesheets to groups. An agency could choose to assign one or more Timesheets to all Timesheet users. Or, it could choose to apply different Timesheets to different security groups (e.g., Sewer department vs. Streets department), depending on their needs. This is a good opportunity to confirm that users are in groups that make sense for your organization.
General Web Permissions
Users must have permission to use Lucity Web to use the Timesheet.
Within the Security program, go to Security > Permissions Setup.
On the left side, select the Timesheet Users group and the Timesheet Admin group.
On the right side, expand the Lucity Apps category and mark the Lucity Web option.
Select Run.
Click the << Grant button in the middle of the screen. The new permissions are now assigned.
Timesheet User Permissions
The Timesheet User permissions are sufficient for both general users and supervisors. Users are allowed to view and edit their own Timesheet. Supervisors have the ability to view and edit their own Timesheet, as well as rights to oversee the Timesheets of any of their assigned employees.
Within the Security program, go to Security > Permissions Setup.
On the left side, select the Payroll Admin group.
On the right side, expand the Work category and mark the Timesheet option.
Select the Edit Own Record, General – Edit, Payroll Admin, and Run permissions.
Click the << Grant button in the middle of the screen. The new permissions are now granted.
Lucity Admin Permissions
The Timesheet Admin permissions allow the timesheet administrator to view and edit his or her own Timesheet, as well as the Timesheets of all other users. The administrator also has the ability to:
