Subsets

The Subset tool allows users to save a group of records for later use. These records then can be reloaded within in the module, or, in some cases, within other modules.

To use the tool, click on the Subset button

on the toolbar. A list of Subsets appears:

Select a Subset from the list of subsets.
Click the Load a Subset button or the Load a Subset into a Filter button.
The system loads that subset of records.

Click the Add a Subset button . New subset property fields appear at the bottom of the pop-up:
Select whether to create the new subset from the Filtered Set of records or from the Selected Records in the grid.
Enter a Name for the subset.
Decide how long the subset will remain in the Subset manager:
- Check the Mark Permanent box to retain the subset indefinitely.
- Enter an expiration date in the Date field if you would like the system to delete the subset on the designated day.
Click Save.

Select a Subset and click the Edit a Subset button . New subset property fields appear at the bottom of the pop-up:
Change the subset name in the Name field.
Modify how long the subset will remain in the Subset manager:
- Check the Mark Permanent box to retain the subset indefinitely.
- Enter an expiration date in the Date field to delete the subset on the designated day.
Click Save.
Note: Use the Replace Subset button to change the records in the subset.

When replacing a Subset, users can only change the records in the subset.

Click the Replace a Subset button . New subset property fields appear at the bottom of the pop-up.
Specify whether the new subset should be created from the current Filtered Set of records or from Selected Records in the grid.
Click Save.
Note: To change other Subset properties, use the Edit button.

Select a subset in the list and click the Sort Subset button. . Another pop-up appears:
Select an Item in the subset.
Use the buttons to move the item up and down within the list.
Click Save.

Select a subset in the list and click the Sort Subset button . Another pop-up appears:
Highlight an Item in the subset.
In the bottom-left corner, select whether to add the entire Filtered Set or only the Selected Records in the module.
Use the button to add the records above the item currently highlighted in the pop-up.
Use the button to add the records below the item currently highlighted in the pop-up.
Click Save.

Select a subset in the list and click the Sort Subset button. . Another pop-up appears:
Highlight an Item in the subset.
Use the button to remove the item currently highlighted in the pop-up.
Click Save.


Inventory/Address Subsets		Allows the user to display only Inventory Subsets (sets of Asset records) or Address Subsets (sets of Address records). Note: Address Subsets work only with modules that support addresses.
Change Selected Category		Enables users to view only those subsets for the Asset Inventory whose Work category is selected. (Note: This option appears only in Work modules. Subsets from any Asset Inventory can be loaded into a Work Order.)
My Subsets Only		Displays only the subsets created by the current user.
Load a subset		Loads an existing subset (clears out any filters currently being used and displays all records in the subset).
Load a subset into a filter		Loads the subset into the current filter. Any records that are part of the subset but are not also part of the filter are excluded.
Add a subset		Creates a new subset.
Sort a subset		Allows users to modify the subset.
	Remove		Removes an item from the subset.
	Add		Adds new items to the subset.
	Move		Moves an item up or down within the subset. When a subset is loaded, the items retain that order.
Edit a subset		Allows users to edit the details of an existing subset.
Replace a subset		Replaces the selected subset with a new one.
Delete a subset		Deletes the selected subset.
