Eval Tab

The Eval tab helps agencies estimate the running cost of a vehicle and assess its life span based on running costs and recorded usage.  Some of the fields in the Eval tab are entered by the user. (These fields appear in white in the module.) Other fields are calculated automatically by the system. (These fields are grayed out in the module.)

User Populated Fields

To start using the Eval tab, enter values in the fields highlighted in orange and green below. The orange fields are values used to determine the status of the vehicle was when it was first used, and the maximum it will be used. The green fields are used to estimate future use.

Current Amount Eval

Starting Amount

Date or Year

The date the vehicle went into service.

Odometer, Hour, or Other Meter

The meter reading when the vehicle went into service.

Maximum Amount

Date or Year

The number of years the vehicle is expected to be in service.

Odometer, Hour, or Other Meter

The anticipated maximum meter reading for the vehicle.

Total Cost

The maximum amount of money available to spend on vehicle repairs and preventative maintenance during the vehicle's life span.

Est. Annual Amount Used

Odometer, Hour, or Other Meter

The estimated annual meter reading for the vehicle.

Total Cost

The estimated annual expenses for the vehicle.

Calculated Fields

Once the above fields have been populated and the record is saved, the system will automatically calculate values for the remaining fields. These calculated fields are highlighted in yellow below. Some of the fields in the grid present duplicate information.  These fields are marked with an * and are color-coded to match their counterpart.

Current Amount

Note: The Current Amount fields are updated each night, as well as upon save or refresh of the Fleet record. The data in these fields come from Fleet Fuelings, Work Orders, Travel Logs, and Reset records. If any of these records are created with a more recent date and higher meter reading, these fields will be updated.

Date or Year

The last date that any work, fueling, travel log, or reset was recorded for the vehicle.

Most Current Time

The last time that any work, fueling, travel log, or reset we recorded on the last date. This allows multiple of the previously mentioned records to occur on the same day.

Odometer, Hour, or Other Meter

The most recent meter reading. This can come from a fueling record, travel log, work order, or reset.

Amount Used

Date or Year

The number of years the vehicle has been in service.

Calculated as: Current Amount Date - Starting Amount Date.

Odometer, Hour, or Other Meter

The number of miles the vehicle has been used since being put into service.

Calculated as: Current Amount Meter - Starting Amount Meter.

Total Cost

The total dollar amount spent on the vehicle to date. This includes work order costs, fueling costs, and additional costs.

Calculated as Fuel Total Cost (Fueling tab) + Total Maintenance Cost (Eval Tab) + Sum of Amount Fields on all Cost Information Records (Cost tab).

Total Maintenance Cost

The sum of all work order costs for this vehicle.

Calculated by adding the WO Cost field on all Work Order Asset records for the vehicle.

Remaining Amount

Date or Year

The estimated number of years the vehicle will remain usable.

Calculated as Maximum Amount - Amount Used.

Odometer, Hour, or Other Meter

The estimated available working miles left in the vehicle's life span.

Calculated as Maximum Amount - Amount Used.

Total Cost

The amount left in the budget for vehicle repairs and maintenance.

Calculated as Maximum Amount Total Cost - the Amount Used Total Cost.

Actual Annual Amount Used

Odometer, Hour, or Other Meter

The amount the vehicle is used every year.

Calculated as Amount Used Hourmeter / Amount Used Date or Year.

Total Cost

The dollar amount spent to keep the vehicle running over the course of a year.

Calculated based on Amount Used Total Cost / Amount Used Date or Year.

Approx Remaining Life Span

Odometer, Hour, or Other Meter

An estimate of how many more years the vehicle will run.

Calculated as Remaining Amount Hourmeter or Other Meter / Actual Annual Amount Used Hourmeter or Other Meter.

Total Cost

The dollar amount left per year to keep the vehicle working.

Calculated as Remaining Amount Cost / Actual Annual Amount Used Cost.

Average Total Cost per Meter

Odometer, Hour, or Other Meter

The dollar amount required to run the vehicle for one iteration of the meter. For example, it costs $2 to drive the vehicle for one mile.

Calculated as Amount Used Total Cost / Amount Used Hourmeter or Other Meter.

Average Total Maintenance Cost per Meter

Odometer, Hour, or Other Meter

The dollar amount required to maintain the vehicle for one iteration of the meter. For example, it costs $4 to drive it one mile.

Calculated as Amount Used Total Maintenance Cost / Amount Used Hourmeter or Other Meter.

Total Operational

Total Operational Cost

The dollar amount required to operate the vehicle and keep it operational.

Calculated based on Fuel Total Cost (Fueling tab) + Total Maintenance Cost (Eval Tab).
