The Notification tab is designed to document the various agencies notified about the SSO. Agency names, individuals contacted, and reporting dates can be included. Checkboxes are provided to indicate whether the Department of Health and/or Office of Emergency Services were notified. Fields are also provided to indicate whether a contamination warning was issued along with its duration.
Additionally, There is a Notifications grid at the bottom of this tab. This grid allows you to include an unlimited number of notifications to be tracked. It also has a function to send an email notification to Notification Agencies. Each notification can have both linked documents and comments. When you select an Investigator on theInvestigation tab, any Notification Agencies associated with that investigator in theOverflow Investigators module will be automatically entered here. You can then edit these notification records as needed.
Right-clicking in the grid provides these options:
View the current record selected, out of edit mode
Add a new record to the grid
Open a record in edit mode
Delete the selected record from the grid
Send an email notification from the selected record(s) in the grid
Right click in the grid and select Add Record. The Agency Reporting dialog will appear:
Enter a unique Notification Number. This is required in order to save the record.
Enter the date and time of the report.
Select the reporting agency from the pick list. This list comes from the Agency Notification Library. For more information on this module, consult the Overflow Notification Library topic.
Indicate the individual contacted and their contact information.
Note: If the notification is being setup to be sent as an email the E-Mail Address field must be filled out. This email address will be used as the recipient in the notification.
Select the reporting method.
Click on the Notification Label field and hit F9 for a list of valid notification templates. Select an email notification template. This template is the one that will be used when an email notification is generated for this record.
Note: Only templates that are marked as Sewer Overflow will show up in the list of valid notification templates.
Add additional comments in the field at the bottom of the screen.
Note: The notification template must have these values
After creating the notification template go to Sewer > Overflows > Overflows module and find the Sewer Overflow that needs email notifications sent out.
Make sure there is a Notification Agency setup to receive an email notification. This can be setup in one of two ways
The notification agencies can be setup beforehand in the Agency Notification Library, which are then linked to an Overflow Investigator in the Overflow Investigator module. When the Overflow investigator is selected on the sewer overflow record, the associated Notification Agencies are automatically added to the Notifications Grid.
Alternatively you can manually add a record to the Notifications Grid as described above
Note: In either case the E-Mail Address field and the Notification Label field must be filled out on the record in the Notifications Grid. The email address will be used as the recipient and the notification selected in the Notification Label field is the one that will be sent out.
In the Notifications grid select the record or records that need emails sent out. Right click and select Send Notification.
The email is automatically sent to the email address on the Notification Agency record, and any recipients on the notification template.
Note: A record that the notification was sent is stored on the Overflows > Tracking tab.
