Evaluation (Eval) Tab

The Evaluation (Eval) tab helps to estimate the running cost of the equipment and assess the life span of the equipment based on running costs and recorded usage. Some of the fields in the Eval tab are entered by the user. (These fields appear in white in the module.)  Other fields are calculated automatically by the system. (These fields will be grayed out in the module.)

User Populated Fields

To start using the Eval tab, enter values in the user-populated fields, highlighted in orange and green below. The orange fields are values used to determine the status of the equipment was when it was first used and the maximum amount it will be used. The green fields are used to enter estimates about future use.

Eval Current Cost

Starting Amount

Date or Year

The date the equipment went into service.

Hourmeter or Other Meter

The meter reading when the equipment went into service.

Maximum Amount

Date or Year

The number of years the equipment is expected to be in service.

Hourmeter or Other Meter

The anticipated maximum meter reading for the equipment.

Cost

The maximum amount of money available to spend on equipment repairs and preventative maintenance during the equipment's life span.

Est. Annual Amount Used

Hourmeter or Other Meter

The estimated annual meter reading for the equipment.

Cost

The estimated annual expenses for the equipment.

Calculated Fields

Once the fields above have been populated and the record is saved, the system will automatically calculate values for the remaining fields. These calculated fields are highlighted in yellow below. Some of the fields in the grid present duplicate information.  These fields are marked with an * and are color-coded to match their counterpart.

Eval Calc Fields

Current Amount

Note: The Current Amount fields are updated each night, as well as when the Equipment record is saved or refreshed. The data in these fields come from Equipment Readings, Inspections, Work Orders, and Reset records. If any of these related records are created with a more recent date and higher meter reading, these fields will be updated.

Date or Year

The last date that any work or reading was recorded for the equipment.

Hourmeter or Other Meter

The most recent meter reading, as reflected in an Inspection record, Readings record, or a Work Order.

Amount Used

Date or Year

The number of years the equipment has been in service.

Calculated as Current Amount Date - Starting Amount Date.

Hourmeter or Other Meter

The number of hours the equipment has been used since being put into service.

Calculated as Current Amount Meter - Starting Amount Meter.

Cost

The total dollar amount spent on the equipment to date. This includes work order costs and any additional costs listed in the grids on the Cost tab.

Remaining Amount

Date or Year

The estimated number of years the equipment will be usable.

Calculated as Maximum Amount - Amount Used.

Hourmeter or Other Meter

The estimated number of working hours left in the equipment's life span.

Calculated as Maximum Amount - Amount Used.

Cost

The dollar amount left in the budget for equipment repairs and maintenance.

Calculated as Maximum Amount Cost - the Amount Used Cost.

Actual Annual Amount Used

Hourmeter or Other Meter

The number of hours the equipment is used every year.

Calculated as Amount Used Hourmeter / Amount Used Date or Year.

Cost

The dollar amount spent to keep the equipment running over the course of a year.

Calculated as Amount Used Cost / Amount Used Date or Year.

Approx Remaining Life Span

Hourmeter or Other Meter

An estimate of the number of years the equipment is expected to run.

Calculated based on Remaining Amount Hourmeter or Other Meter / Actual Annual Amount Used Hourmeter or Other Meter.

Cost

The dollar amount remaining per year to keep the equipment working.

Calculated based on Remaining Amount Cost / Actual Annual Amount Used Cost.

Average Cost per Meter

Hourmeter or Other Meter

The cost to run the equipment for one iteration of the meter. For example, it costs $100 to run it for one hour. Calculated as Amount Used Cost / Amount Used Hourmeter or Other Meter.
