The Master Project module provides a way to send email requests for master project changes. It supports notifications for Budget Transfer Requests and Sub Project Creation requests. This allows employees to quickly send requests to directors who have authority to approve and make those changes.
The Master Project Notifications ONLY go to people on the Notification Template's Recipient List. The person who is to receive these notifications MUST be added to that recipient list.
Master Project notifications are not triggered automatically. They are sent using the Send Email for Budget Transfer Request or Send Email for New Sub-Project Request functions found in the Master Project Toolkit.
Master Project notifications do NOT include any information automatically. Any field that has information which must be included on the notification, must be added to the notification template using the Auto-Insert feature. Since the Master Project ID, Transfer Budget From, Transfer Amount, and Create Sub Projects fields are critical for these specific notifications, those fields should be added to the notification template.
The notification templates are created in the General > Notification Setup module. When the Master Project toolkit functions are used, the user selects which template to use.
How To Setup and send a Master Project Notification
Note: Since there are two different types of Master Project Notifications use the Notification Template's Notification Labelto distinguish between the two types. This will help know which notification to pick when running the toolkit function later.
Note: The recipient must be filled out on the recipient list.
Note: The notification template must have these values
After creating the notification template go to Work > Project Management > Master Project and find the Master Project that a request is going to be sent for.
Click the Transfer Budget From button and select another master project, then click the button.
Note: The request will be for money to be transferred from the master project selected in the Transfer Budget From field to the master project record that is currently opened.
Put the amount of money to be transferred in the Transfer Amount field.
Note: the values in these field will persist after the notification is sent. It is OK to overwrite these values the next time a request is made. A record of every request sent is stored in the grid below the fields.
Select the button on the toolbar and this screen will pop-up:
Select Send Email for Budget Transfer Request.
Click and the following message will appear:
Click and the following screen will appear. Click No and it will go back to the Master Project record.
Click the Email Notif # button and select the notification to be sent out.
Note: Only Notification Templates that have the Notification Moduleset to "Work Master Project" will show in this list.
Fill out the Create Sub Projectsfield with the name of the Sub-project to be created for this Master Project.
Note: The value in this field will persist after the notification is sent. It is OK to overwrite this value the next time a request is made. A record for every request sent is stored in the grid below this field.
Select the button on the toolbar and this screen will pop-up.
Select Send Email for New Sub-Project Request
Hit and the following message will appear.
Hit and the following screen will appear. Hit No and it will go back to the Master Project record.
Click the Email Notif # button and select the notification to be sent out.
Note: Only Notification Templates that have the Notification Module set to "Work Master Project" will show in this list.
Click and the Notification will be sent.
Note: A record that the notification was sent is stored in the grid at the bottom of the Budget Change Tracking tab.
