The Employees assigned as Supervisors on Work Orders can be sent email notifications informing them when the Main Work Task on the Work Order is overdue.
The Projected Completion Date (in Work Orders > Standard > Costs tab) determines when a task is overdue. The projected completion date is auto-calculated based on the Work Order Start Date + the value (number of days) in the Estimated Task Duration field (in the Work Flow Setup > Work Tasks > WO defaults tab). The Projected Completion Date can be manually modified. When the System calculations are run the Projected Completion Date is checked against the current date.
Overdue notices are processed each night on the server by the PM Service. They'll be processed at the same time as PMs are generated. This time is determined by the system administrator.
Note: Notifications generated from imported field data are processed when you synch. Only email notifications can be sent regarding imported field data.
Most Work Order notifications can be overridden. When filling out the Work Order, before saving, go to the WO tab and check the corresponding override box.
Note: Checking the Task Box will override the General Task, Work Order Completion, and Priority Change notifications.
Note: Start Date Notifications (based on tasks) can NOT be overridden.
Note: When any of these checkboxes are marked, the system will NOT send the corresponding notifications. Overdue Problem Notifications may also be overridden in the Requests module. For additional information, follow this link.
Note: The notification template must have these values
After creating the template, go into the Work Flow Setup > Task module.
On the WO Defaults tab
Enter the estimated task duration time into the EST Task Duration field. (This is measured in days.)
On the Notifications tab
Using the Overdue Notif field, select which email notification will be sent to the work order supervisor.
In Work Flow Setup > Employee > Contact Info tab the Email field must be filled out for the supervisor to receive the notification.
After completing the above setup, every time that task is used as the Main Task on a work order, and the work order is still open after the estimated duration, they supervisor will receive the email notification.
Note: The Work Task must be selected as the Main Task on the Work Order for the related notifications to be sent.
