2014 Release Notes

Version Numbering

Lucity is updating our software version numbers to better reflect the year the software was released.  Instead of labeling this release version 7.70, it is called Lucity 2014.  This summer a second release called Lucity 2014r2 will come out in August.  It is our plan to release twice a year (in February and August) with a  Year and Year r2 designation from this point forward.

Breaking Changes for Lucity REST API

There is a breaking change to the Lucity REST API for JSON. Starting with Lucity 7.60 SP1, all JSON dates are returned in ISO-8601 format. This change affects only custom, client-developed applications using JSON that display date information from Lucity. All known developers and clients using the REST API were notified of this breaking change via email Jan. 7, 2014.

Module Enhancements

These changes were made to the modules in the desktop and web applications

Environmental

• Environmental Survey Site Inspection
  • Lab Test Results Dialog – Changed Infection 1 and Infection 2 code/types to alphanumeric pop-ups.
  • WO Employee 1 and 2 Fields – Now display only employees from the Work Employee Setup module that have the Environmental checkbox checked.

Equipment

• Equipment Inventory
  • Added link to the Work Flow Setup > Employees module. Equipment linked to an employee appears on the Employee record.
  • Equipment can link to Plants and Plant Processes.
  • Can now set default thresholds which are carried over to new Equipment inspections.
  • New Email Tracking tab keeps track of email notifications sent from the module.
  • New Toolkit Items
    • Add Replica Record – Creates a copy of the current record and requires the user to enter the new Equipment ID and Description.
    • Send Email Notification for Current Record - The user selects the Notifications that have been setup for Equipment. This feature uses the email address that is found on the General tab.
    • Send Email Notification for Filterset - The user selects the Notification that has been setup for Equipment. This feature uses the email address that is found on the General tab.
• Equipment Inspections
  • New Threshold Limits Tab – Stores a set of records that check different inspection values stored throughout the module to determine whether those values fall outside of an established set of limits.
    • Notifications can be sent automatically if a value falls outside the threshold set.
    • Default thresholds can be set on the Asset record in the Inventory so that they are automatically loaded onto the Inspection.
  • New Email Tab –Stores a history of all instances when a value fell outside a threshold and records when email notifications were sent.
• Components Library - This new module allows users to set up preconfigured lists of components. These lists can be loaded into an Equipment record’s Components tab.
• Threshold Library
  • This new module allows users to setup preconfigured lists of thresholds. These lists can be loaded into other modules.
  • This module is located under the Plant/Equip menu.
• Menu Location - The Equipment modules are now found under the Fleet, Plant/Equip, and Facility menus.

General

• Notification Module
  • Added new Problem and Task tabs showing WO Setup Problems and Tasks that are linked to the Notification.
  • Added two additional Notification Types: Equipment and Equipment Inspection
• Construction module - Project Asset Distribution Grid and Dialog – Added a new Description field.

Plants

• Plant Module - This new module tracks locations where water or waste water is processed. Sewer, Storm, and Water pipes can link to the Plant module.
• Plant Process Module - This new module defines individual processes found within the plant. Plant Process records can be linked to Equipment, Sewer, Storm, and Water assets.

Sewer

• Sewer Pipe Inventory
  • Added two fields that indicate whether the pipe enters a plant or leaves a plant.
  • Added three new logical fields to the Custom tab.
  • Added a new Custom 2 tab.
• Structure Inventory - Records from this module can now link to a Plant Process.
• Pump Station - Records from this module can now link to a Plant Process.
• Sewer Overflows - The Alt ID is now required.

Sewer FOG

• Facilities
  • Contacts Tab - Added billing fields.
  • Added relationship from Grease Extractor to Hauler Pumpout module.

Sewer IPT

• IPT Monitoring Points Billing – This new module helps agencies calculate how much a facility should be charged based on usage, credits, overages, etc.
• Testing Parameter Setup – Added several new fields relating to the new Billing module.

Storm

• Conduit Inventory
  • Added two fields that indicate whether the pipe enters a plant or leaves a plant.
  • Discharge Points can now be used as a From End Point and To End Point.
• Structures Inventory - Records from this module can now link to a Plant Process.
• Pump Station Inventory - Records from this module can now link to a Plant Process.
• Detention Basin - Records from this module can now link to a Plant Process.
• Weir Inventory/Inspections - These new modules track man-made obstructions in a storm system and inspections of these assets.
• Discharge Module - Added a new Group ID pop-up to enable users to group discharge points together. For example, this feature would be useful if there was a spill upstream and an agency wanted to track all results of all inspections for that spill.

Storm BMP

• BMP Assets
  • GI (green infrastructure) tab – New tab that stores information about the asset’s role in the BMP program including the important dates and associated costs.
  • Milestones Tab – New tab that tracks events in the life of the asset.
  • Items – New tab that displays asset items that are linked to the asset.
  • Geological Survey – New tab that displays geological surveys that were performed on the asset.
  • Status Tracking – New tab that tracks all changes to the record’s Status field.
• Asset Milestone module
  • This new module stores all of the records for asset milestones.
• Added Asset Items Inventory and Inspection Modules
  • These new modules enable users to add items like plants, fences, benches, etc. to a BMP asset and keep track of item inspections.
• Added Geological Survey of BMP Assets
  • This new module allows agencies to track geological surveys of individual BMP assets.
• Milestone Library
  • This new module enables users to create preconfigured lists of milestones to load into assets.
• Stock Library
  • This new module enables users to group Stock Items into a Library record. Library records can be loaded into a BMP asset, which then creates a related Asset Item record for every stock item in the library.
• Stock items
  • This new module enables users to set up Asset Items that can be used when creating records in the Asset Item Inventory.

Street

• Culvert Inspection module - Tracks inspections for Street Structure assets.
• Bridge Inventory - Rating Tab - Added a Permit Rating field.
• Street Subsegment - Supersegment WO/PM/REQ Tab – New tab that displays the Work Orders, PMs and Requests that relate to the supersegment to which the subsegment is attached.

Water Distribution

• Pipe Inventory - Added two fields that indicate whether the pipe enters a plant or leaves a plant.
• Pump Station - Records from this module can now link to a Plant Process.
• Water Supply - Records from this module can now link to a Plant Process.
• Water Storage - Records from this module can now link to a Plant Process.

Raw Water

Work

• Requests - Category Level Security – A new Work Request Option enables Category Level Security for the Request module.
• Work Orders - The WO_ID is now displayed at the bottom of the Comments tab.
• Material Requisition
  • Material Requisition – Enables users to requisition materials that are not linked to work orders or to view requisitioned materials that came from a work order.
  • Contains a Toolkit to create a Purchase Order from a Requisition record.
• Pm/Template Module - Added a new Inactive Template flag. If the flag is set to "True," then, the template will no longer appear in the Create Work Order Template from the Work Order tool.
• Work Flow Setup
  • Employees
    • Issued Tab – Now contains four grids displaying: All Parts Issued, Returnable Parts Issued, Fleet Assigned, and Equipment Assigned.
    • Added new tool to let users Return to Inventory in the Issued tab.
  • Exclusion Days - Replicate Current Record Toolkit – This toolkit is designed to take an exclusion day based on a date and duplicate it for future years.
• Work Options
  • Recalculate Costs for All Project Management Records – This function causes the Project Management Toolkits that update records to update all Project Management records, whether they are active (open) or not.
  • Notify User When Asset Is Already Attached to an Open Work Order – This function displays a pop-up alert every time that a user attempts to create a work order for an asset that is attached to an open work order. This function is enabled by default.
  • Disable Work Order Overdue Notifications – This setting stops all Work Order Overdue notifications from being sent.

Parts Warehousing

• Parts
  • Added Consumable Flag – This new checkbox marks whether a part is consumable (like a glue or spray) instead of an asset (like a piece of pipe).
  • Added Vendor link to the Add to Inventory dialog.
  • A new report has been added which helps to identify Inaccurate Parts Counts. The report calculates all of the part counts to make sure that there aren’t any discrepancies between what was added, removed, and currently available.
  • Manual Transaction Count Adjustment – This new Toolkit enables users to add an Adjustment into the Transaction grid.
  • Update Average Cost for Current Part – This new Toolkit enables users to adjust the Qty On Hand field.
  • Send a Nightly Alert If Parts Counts Are Inaccurate – This new setting sends an alert every time the nightly processes find a mismatch in the parts counts. This function should be enabled for the first time only after all part counts have been rectified once.
• Transactions
  • Added Consumable flag.
  • Added Vendor Link.
  • Added two User pop-up fields.
• Warehouse
  • Added Vendor Link to Add to Inventory dialog.

GIS - Desktop

Analyst Tools

• Lucity Work Viewer
  • This new tool enables users to display Work Order, Request, PM, and Master Project data. For Work Orders and Requests, Lucity Work Viewer can create static views of the data or display the new Lucity Spatial (live) views of work data.
  • The existing View Work Locations, View Request Locations, View PM Locations, and View Master Project Locations tools are still available to interact with the layers generated by the Work Viewer.

Editing Tools

• Editor Extension - The editing tools now recognize Storm Discharge Points as to/from points for storm conduits.
• Sewer Edit Tools
  • The Merge Pipes tool now provides warning if the ID the user enters is already used.
  • The Split/Merge/Renumber tools now update the asset Description fields for the associated pipe.
• Storm Edit Tools
  • The Merge Pipes tool now provides warning if the ID the user enters is already used.
  • The Split/Merge/Renumber tools now update the asset Description fields for the associated pipe.

Configuration and Integration

• Geodatabase Configuration
  • GIS Composite Date fields can now be linked to Lucity Date and Time fields.
  • Some Inspection modules can be mapped to GIS Feature classes. This is a one-way link that takes Inspection information found in Lucity and pushes it into a feature class. The data is updated using a new GIS Task.
  • GIS Tasks – This new feature class tool was added to the geodatabase configuration. It is designed to copy inspection information from Lucity into a linked feature class. Currently, this tool must be run manually.
  • Several new Inventory modules are available to link to Lucity: Plant, Plant Process, Storm Weir, and Storm BMP Asset Items.

Lucity Spatial Views

• Lucity now stores Work Order and Request geometric information directly in the Lucity database. This change allows the system to display that information directly in the map. As work orders are created, a new service processes them and writes the geographic information directly into the database. This information can then display live work data by the Lucity Work Viewer in ArcMap and Lucity Web Map.

Administration Tool

• View/Form Manager
  • When adding fields to a form, users can now use the Shift key to select multiple fields to add at once.
  • A new Diagram field has been added to the Street Intersection module. This field displays a visual of the intersection.
  • A set of new location fields have been added to the Work Order form. These fields update the Work Order Locations table, making it easier to enter location information.
• Dashboard Manager
  • The Map Plug-in has been removed.
  • The Asset Tree Plug-in works for Plants, as well.
• Cache Managers
  • Date Cached and Time Cached fields have been added to the Cache Manager.
  • The Manage Public Web Site Caches page is disabled if the Citizen URL (in system settings) is not set.
• Security
  • Assign Groups to Forms
    • Show Module Views/Forms has been changed to Show Program Views/Forms to show all the views/forms that are related to the first drop-down.
    • A new Show Only Timesheet Forms checkbox hides all forms except the Timesheet forms.

Services

• Lucity Spatial Updater – This new service processes work information and then stores geographic information in the Lucity Spatial tables. This information is then used by the Lucity Spatial Viewer and Webmap.
• Email to Request Service – This new service enables agencies to automatically turn email requests into Request records in the Lucity system.

Web

Tools

• Property Viewer
  • This tool takes the address from the current record and searches a set of other modules for the same address. Lucity then displays a list of all the modules and records that are related to this record based on the address.
    • The tool displays a list of Programs which are expanded into modules which, in turn, are expanded to show individual records.
    • There is a Recents section which displays a limited collection of address ‘busy’ modules. The system displays the last year’s worth of data and orders it by date.
    • If the current record has no address, a pop-up appears, but it is blank.
    • When the tool is run from a Work Order, it looks for relationships for the first location in the Locations grid.
    • When searching for relationships from a Work Order, the Property Viewer checks all Location records.
• Toast Messages
  • When users run a tool in Lucity or trigger some automatic function, a pop-up message appears to let them know when the process is complete.
• Document Control
  • The Document Upload dialog now displays the whitelist of documents that a user can upload.
• Toolkit
  • Some toolkits group tools together within the Toolkit, making it easier to sort through the tools.

Views/Grids/Forms

• When opening a view to another module or creating a Work Order or Request, the program checks whether there is more than one view available to the user. If there is more than one available view, the user is prompted to select a view.
• Users can now double-click on items in a picklist to select them.

Webmap

• Supports the new Lucity Spatial Views.
