Work Orders - Special Popups

Based on settings in the desktop version of the desktop application, the Warehouse Parts Inventory module can be integrated with the Work program to provide optimal inventory management. This integration allows users to disperse parts from warehouse locations for use on work orders.

Note: To use this integration, the parts inventory integration setup must be completed in the desktop application. Consult the system administrator for additional information.

How To

Disperse parts from the inventory

1. In Lucity Web go to the Work Order view and add a Part to the work order as a resource.
2. Indicate the number of units to be used on the work order.
3. Save the Work Order resource Form. If a mobile warehouse is attached to the work order, the parts will be dispersed from there. Alternatively, if there is no mobile warehouse, but a default warehouse location has been assigned in Parts Inventory, then the parts will be dispersed from there. If there is neither an attached mobile warehouse nor a default warehouse location, the following dialog will appear. This dialog allows users to select where the inventory items are pulled from.

   

4. The dialog indicates the number of units needed to complete the work order.
5. Record the part quantity selected from each available warehouse. The total quantity selected will appear in the "Supplied" field. The value in the "Supplied" field must match that in the "Needed" field before the OK button will be enabled.
6. Click OK. The parts will be dispersed from inventory automatically.

By using the Financial Integration options in the desktop application, the administrator can enable partial defaulting for Account Numbers and Project Numbers on the web forms. Consult the system administrator for additional information.

If these options are set up, when a Category or Task with an associated account number or project number - account is selected on the web form, the system will automatically carry over the corresponding numbers with no other input from the user (example below).

These fields will be automatically filled out.

If the desktop application is integrated with Eden Financial Systems, users can select Eden account numbers on the work order forms. Consult the system administrator for additional details.

1. Eden account and project numbers are comprised of multiple levels or segments. Users on the web will be able to click the button beside the Account Number and Project Number - Account fields to access the Segment selection dialogs.

   

2. Users can then click on the Segment 1, Segment 2, and Segment 3 buttons to select from lists of pre-existing account and project numbers.
3. Click OK when selection is complete.

A warning message will pop up when saving a work order that has assets with active warranties. This is designed as a reminder so that agencies are reminded of their current warranties. This will happen if:

• The Work Order has a status less than 950, Non Complete WO, and
• The Work Order has at least one fleet or equipment asset listed in the Assets grid, and
• The asset has at least one active record in the Warranty table, and
• The current system date is less than or equal to the warranty expiration date.

The warranty notice will identify the supplier, warranty type, warranty open date, expiration date, and review date.
